Role Overview
We are looking for a dependable, highly organised and proactive Personal Assistant to the Director. The candidate will support the Director in managing schedules, communications, meetings, travel, documentation, external stakeholder coordination and day-to-day business activities.
The role requires professionalism, confidentiality, strong follow-up capabilities and the ability to work effectively with senior corporate executives, clients, government departments, industry bodies, academic institutions, consultants, vendors and business partners.
Key Responsibilities
- Manage the Director’s calendar, appointments, meetings and daily schedule.
- Coordinate externally with clients, senior executives, government departments, industry associations, academic institutions, consultants, vendors and business partners.
- Represent the Director’s office professionally in external communications and coordination.
- Schedule external meetings, product demonstrations, conferences and business engagements.
- Follow up with external stakeholders regarding meetings, proposals, documentation, approvals, payments and pending action items.
- Draft and manage emails, letters, presentations, meeting notes and official correspondence.
- Organise meetings, prepare agendas, record minutes and monitor agreed action items.
- Screen and prioritise calls, messages, emails and meeting requests.
- Arrange travel, accommodation, itineraries and meeting logistics.
- Maintain confidential company and Director-related records and documents.
- Support business development activities, client meetings, corporate events and industry conferences.
- Conduct online research and prepare concise reports, stakeholder profiles and briefing notes.
- Coordinate internally with employees and departments on behalf of the Director.
- Maintain organised records of external contacts, communications and follow-ups.
- Assist with administrative and operational assignments as required.
Candidate Requirements
- Graduate in any discipline.
- Freshers with excellent communication and organisational skills may apply; candidates with relevant experience will be preferred.
- Strong written and spoken English.
- Proficiency in Microsoft Word, Excel, PowerPoint, email and online meeting platforms.
- Excellent communication, time-management, coordination and follow-up skills.
- Confidence in communicating with senior-level external stakeholders.
- Professional appearance and interpersonal conduct.
- Ability to maintain strict confidentiality and exercise sound judgement.
- Willingness to work from the Bengaluru office for six days per week.
- Flexibility to travel occasionally, if required.
