The Dispatch Supervisor is responsible for ensuring the accurate, timely, and damage-free dispatch of finished goods while maintaining complete documentation, coordinating vehicles, ensuring inventory accuracy, and complying with company quality, safety, and operational standards.
Key Responsibilities1. Dispatch Planning
- Execute the daily dispatch plan as per the Production Planning & Control (PPC) schedule.
- Coordinate with Production, Quality Control (QC), Stores, and Logistics teams.
- Prioritize dispatches based on customer requirements and delivery commitments.
2. Material Verification
- Verify product quantity, specifications, and quality before dispatch.
- Ensure that only QC-approved materials are dispatched.
- Cross-check the Bill of Materials (BOM), packing list, and dispatch checklist.
3. Vehicle & Loading Management
- Arrange suitable vehicles based on shipment requirements.
- Supervise safe loading and unloading activities.
- Ensure proper load securing to prevent transit damage.
- Monitor vehicle turnaround time and loading efficiency.
4. Documentation
Prepare, verify, and maintain the following documents:
- Delivery Challan
- E-Way Bill
- Tax Invoice
- Packing List
- Transport LR/GR (Lorry Receipt/Goods Receipt)
5. Inventory Control
- Maintain accurate dispatch records.
- Update ERP systems and Excel-based dispatch records.
- Coordinate stock reconciliation with the Stores team.
- Report inventory shortages or discrepancies immediately.
6. Coordination
- Coordinate with Sales, PPC, Projects, Stores, and Transporters.
- Track dispatch status and obtain Proof of Delivery (POD).
- Resolve dispatch-related issues promptly to avoid delivery delays.
7. Safety & Housekeeping
- Ensure compliance with PPE and workplace safety requirements.
- Maintain a clean, organized, and safe dispatch area.
- Promote safe material handling and loading practices.
8. Reporting
- Submit daily dispatch reports.
- Report pending dispatches, delays, damages, shortages, and operational issues to the Operations Manager.
Educational Qualification
- Diploma or Bachelor's Degree in any discipline.
- Qualification in Logistics or Supply Chain Management is an added advantage.
Experience
- 3–8 years of experience in dispatch, warehouse, or logistics operations within a manufacturing industry.
Pay: ₹25,000.00 - ₹30,000.00 per month
