Senior Systems & Automation Manager
About the Role
We are seeking a highly technical and process-driven Senior Systems & Automation Manager to architect, implement, and optimize the operational backbone of a fast-growing organization operating in tax strategy, renewable energy, infrastructure development, and investment management. This role will be responsible for designing scalable systems, eliminating manual processes, centralizing business operations, and creating automations that drive measurable business outcomes.
You will work directly with leadership and department heads to transform fragmented workflows into a structured, data-driven, and highly automated operating environment.
Key Responsibilities
- Systems Architecture & Process Design
- Audit existing business processes and identify operational bottlenecks.
- Design scalable workflows across sales, operations, finance, project management, investor relations, and customer support.
- Create process maps, workflow diagrams, SOPs, and system documentation.
- Establish operational frameworks that improve accountability, visibility, and efficiency.
CRM & Platform Management
- Own and optimize core business systems including CRM, communication, reporting, and project management platforms.
- Configure user permissions, workflows, pipelines, automations, and integrations.
- Ensure data integrity, governance, and operational consistency across all systems.
- Maintain documentation for all system architecture and integrations.
Automation Development
- Design and implement end-to-end automations using tools such as:
- GoHighLevel
- HubSpot
- Zapier
- Make
- APIs and webhooks
- AI-powered automation tools
- Automate onboarding, lead management, scheduling, payment reminders, reporting, customer communications, and internal workflows.
- Continuously identify opportunities to reduce manual work and increase operational efficiency.
Reporting & Analytics
- Build executive dashboards and reporting systems.
- Develop KPI tracking frameworks across departments.
- Create automated reports that provide visibility into:
- Lead generation
- Conversion rates
- Project pipeline health
- Revenue performance
- Team productivity
- Automation impact
- Translate operational data into actionable business insights.
SOP Development & Documentation
- Create and maintain comprehensive SOP libraries.
- Document workflows using written guides, videos, screenshots, and process maps.
- Develop onboarding resources that enable rapid team adoption and scalability.
Quality Assurance & Continuous Improvement
- Test workflows and automations before deployment.
- Conduct system audits and identify optimization opportunities.
- Troubleshoot operational issues and implement long-term solutions.
- Drive a culture of continuous improvement and operational excellence.
AI & Innovation
- Research and implement emerging AI solutions.
- Evaluate tools for automation, customer support, outreach, reporting, and workflow optimization.
- Lead innovation initiatives that generate measurable ROI.
Required Skills & ExperienceTechnical Skills
- Advanced experience with CRM platforms (GoHighLevel, HubSpot, Salesforce, or similar).
- Strong expertise in Zapier, Make, API integrations, and workflow automation.
- Experience building dashboards and KPI reporting systems.
- Strong understanding of databases, operational systems, and business process design.
- Familiarity with AI tools and automation technologies.
Business Skills
- Ability to analyze complex operational challenges and design scalable solutions.
- Strong project management and stakeholder management capabilities.
- Excellent documentation and process-mapping skills.
- Ability to communicate technical concepts to non-technical teams.
Qualifications
- 5+ years of experience in Operations, RevOps, Business Systems, Process Improvement, Automation, or Systems Architecture roles.
- Experience scaling systems within high-growth businesses.
- Proven track record of implementing operational efficiencies and automation initiatives.
- Experience working directly with founders, executives, or senior leadership teams.
