About the Role
We are seeking a highly organized and proactive Executive Assistant to provide administrative and operational support to MD. The ideal candidate should possess excellent communication skills, strong proficiency in Microsoft Excel, and the ability to handle professional correspondence efficiently. The role requires maintaining confidentiality, managing schedules, coordinating with internal departments, and ensuring smooth day-to-day operations.
Key Responsibilities Executive & Administrative Support
- Manage calendars, appointments, meetings, and travel arrangements for senior management.
- Prepare meeting agendas, MOMs (Minutes of Meeting), and follow up on action items.
- Handle confidential documents and information with discretion.
- Coordinate with various departments to ensure timely completion of assigned tasks.
Communication & Correspondence
- Draft, review, and manage professional emails and business correspondence.
- Communicate effectively with clients, vendors, consultants, and internal stakeholders.
- Prepare reports, letters, and other business documents.
- Maintain professional communication standards across all channels.
Data Management & Reporting
- Prepare and maintain MIS reports, trackers, and management dashboards.
- Utilize Microsoft Excel for data analysis, reporting, and record management.
- Organize and maintain digital and physical records systematically.
- Monitor pending tasks and provide regular status updates to management.
Coordination & Follow-ups
- Follow up with departments on project timelines, production updates, and management directives.
- Coordinate meetings, vendor interactions, and internal reviews.
- Assist in organizing company events, management visits, and business meetings.
Required Qualifications
- Bachelor's Degree in Business Administration, Commerce, Management, or related field.
- 2–3 years of experience as an Executive Assistant, Personal Assistant, Administrative Executive, or similar role.
- Experience in a manufacturing environment will be preferred.
Required Skills
- Excellent spoken and written English.
- Strong email drafting and business communication skills.
- Advanced proficiency in Microsoft Excel (Pivot Tables, VLOOKUP, Data Management, Reporting).
- Good working knowledge of Microsoft Word and PowerPoint.
- Strong organizational and multitasking abilities.
- Ability to prioritize tasks and meet deadlines.
- Professional attitude, attention to detail, and confidentiality.
- Strong coordination and follow-up skills.
