Job Description:
We are seeking a dynamic, professional, and organized Receptionist to join our team at JEM IT SOLUTION PRIVATE LIMITED , an established IT System Integrator. As the first point of contact for our clients, visitors, and partners, you will play a crucial role in ensuring that our front office operates smoothly, providing an excellent customer experience while supporting administrative tasks within our IT-driven business environment.
Roles & Responsibilities:
- Front Desk Management: Greet and welcome clients, visitors, and employees with a positive and professional attitude. Manage a multi-line phone system, directing calls and inquiries to appropriate departments.
- Scheduling & Coordination: Schedule appointments, meetings, and coordinate room bookings. Manage the logistics for client visits, including room setups and necessary technical arrangements.
- Communication: Handle incoming/outgoing mail, packages, and emails. Maintain a well-organized filing system for documents, ensuring that all communications are handled securely and efficiently.
- Administrative Support: Provide administrative assistance with data entry, filing, photocopying, and preparing reports. Help coordinate office logistics for IT-related projects.
- IT Equipment Coordination: Track and maintain office equipment, including computers, phones, and other technical assets. Work with the IT team to troubleshoot and report equipment issues.
- Client & Vendor Interaction: Assist clients, vendors, and partners visiting the office. Manage visitor access control, including issuing visitor badges and ensuring compliance with company security protocols.
- Event Support: Assist in organizing company events, meetings, and training sessions. Ensure the smooth execution of all logistical requirements, including audio-visual setups and material preparations.
- Security & Access Control: Monitor and maintain security protocols for office access, ensuring the safety of employees and visitors.
- IT Systems Knowledge: Assist with basic inquiries regarding the company’s IT services and products. Coordinate service requests and log IT support issues.
Requirements:
- High school diploma or equivalent; additional qualifications in office administration are a plus.
- Previous experience as a receptionist or in a customer-facing administrative role, ideally in the IT or technical sector.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office (Word, Excel, Outlook) and basic knowledge of office IT systems.
- Strong organizational skills and the ability to manage multiple tasks efficiently.
- Ability to maintain confidentiality and adhere to company security protocols.
