Role Overview:
This is not a routine admin or entry‑level support role — it’s a strategic virtual partnership where you’ll combine organizational precision with modern tools to drive efficiency and impact. As a Virtual Assistant at MonkyVision, you’ll act as a tech‑confident partner who blends administrative support with AI‑enabled execution. You’ll manage schedules, research, documentation, and communication while setting up productivity systems and lightweight automations. By leveraging AI, you’ll streamline workflows, reduce friction, and keep operations running at startup speed. Key Responsibilities:
- Admin & Scheduling: Manage calendars, schedule meetings, send reminders, prepare agendas, and ensure smooth coordination of daily tasks.
- Email & Communication: Draft, format, and send professional emails; maintain clear communication with internal teams and external contacts.
- Research & Insights: Conduct structured research on markets, competitors, tools, and vendors; prepare concise summaries with verified sources.
- Documentation & Knowledge Management: Create and maintain SOPs, trackers, reports, databases, and internal knowledge bases for repeatable workflows.
- Content Support: Assist with drafting, formatting, repurposing, and scheduling content for presentations, social media, email campaigns, and client deliverables.
- Creative Workflow Assistance: Support design and marketing workflows using Canva, AI design tools, and shared asset libraries.
- Productivity Tools Management: Set up and maintain systems in Notion, Trello, ClickUp, Asana, Airtable, Slack or similar tools to keep projects organized.
- CRM & Outreach Support: Assist with lead tracking, outreach lists, data enrichment, pipeline organization, and CRM hygiene.
- AI‑Assisted Execution: Use AI platforms for summarization, drafting, data cleanup, comparison tables, idea generation, and workflow planning.
- Automation Support: Explore, document, and maintain lightweight automations using Zapier, Make, Airtable automations, and email rules.
- Workflow Monitoring: Check automation outputs, monitor run logs, catch failed steps, retry or escalate issues, and refine rules for edge cases.
- Process Improvement: Identify repetitive tasks that can be automated, templated, or redesigned for speed and accuracy.
- Reporting & Dashboards: Prepare weekly progress updates, trackers, and dashboards that make work visible and actionable.
Requirements:
Experience & Skills:
- Prior experience as a Virtual Assistant, Executive Assistant, or Remote Coordinator.
- 2+ years of practical remote support or digital operations experience.
- Proficiency with Google Workspace, Microsoft Office, and productivity tools (Notion, Trello, ClickUp, Asana, Slack, Teams etc.)
- Hands‑on exposure to AI tools (ChatGPT, Claude, Gemini, Notion AI, Canva AI, or equivalents).
- Familiarity with automation tools (Zapier, Make, Airtable automations, or similar).
- Strong organizational skills and ability to manage multiple priorities.
