Interior Purchase Executive – Interiors & Procurement

Job Summary
We are looking for a proactive and detail-oriented Interior Purchase Executive to manage sourcing and procurement of interior materials, furniture, fittings, lighting, finishes, and related products.
The ideal candidate should have strong vendor sourcing, negotiation, purchase coordination, and follow-up skills, with the ability to balance design requirements, quality, budget, and project timelines.
Candidates with experience in interior design firms, construction companies, architecture firms, furniture businesses, or real estate projects will be preferred.
Key Responsibilities
- Source and procure interior materials, furniture, lighting, fittings, hardware, soft furnishings, finishes, and accessories as per BOQ, drawings, specifications, and project requirements.
- Identify, evaluate, and onboard reliable vendors, manufacturers, dealers, and suppliers.
- Obtain multiple quotations and prepare rate comparisons before finalizing purchases.
- Negotiate prices, credit terms, payment terms, delivery schedules, and commercial conditions with vendors.
- Prepare and track Purchase Orders (POs) from order placement through final delivery.
- Maintain an updated vendor database, including pricing, product categories, contact details, and performance history.
- Coordinate with the Interior Head, Designers, Site Supervisors, Project Coordinators, and Accounts Team.
- Ensure materials reach project sites according to the required execution schedule.
- Regularly follow up with vendors to avoid late deliveries or site delays.
- Inspect received materials for quantity, quality, finish, dimensions, specifications, and approved samples.
- Coordinate returns, replacements, damaged material claims, and shortages with vendors.
- Monitor purchase budgets and highlight any cost escalation, shortage, procurement risk, or delivery delay in advance.
- Maintain records of quotations, approvals, POs, invoices, delivery challans, payments, and pending purchases.
- Assist with BOQ / estimation and site coordination whenever required.
- Visit local markets, vendor workshops, showrooms, warehouses, and project sites regularly.
- Stay updated on new materials, finishes, products, brands, suppliers, and market pricing.
Candidate Requirements
- 2–5 years of experience in Purchase, Procurement, Vendor Development, or Material Sourcing.
- Experience in interiors, furniture, construction, architecture, or real estate will be highly preferred.
- Strong knowledge of vendor sourcing and negotiation.
- Existing network of local interior/material vendors will be an advantage.
- Comfortable using MS Excel / Google Sheets for purchase tracking, quotation comparison, budgets, and vendor records.
- Good communication and vendor coordination skills.
- Strong follow-up and problem-solving ability.
- Detail-oriented and capable of handling multiple purchase requirements simultaneously.
- Ability and willingness to travel locally for vendor visits, market visits, workshops, and project sites.
- Should be proactive in identifying procurement issues before they impact project timelines.
What Success Looks Like
Within the first few months, the successful candidate should be able to:
- Add at least 4 new reliable and vetted vendors in categories where vendor options are currently limited.
- Maintain purchase schedules with zero site delays caused by missed or late Purchase Orders.
- Demonstrate measurable cost savings on 2–3 significant purchases through sourcing and negotiation.
- Improve vendor coordination, purchase tracking, and delivery reliability.
