We are looking for a proactive and organised Office Administrator who can take ownership of day-to-day office administration, HR operations execution, employee onboarding, facilities, reception, and vendor coordination. This role is ideal for someone who enjoys keeping things organised, works independently, and understands the importance of both operational efficiency and employee experience.
Key Responsibilities1. Employee Onboarding & HR Operations
- Manage the complete onboarding process for new employees from Day 1 to Day 30.
- Coordinate employee documentation, offer letters, joining formalities, KYC, and HR records.
- Coordinate laptop/IT requirements, ID cards, seating, access, and other onboarding requirements.
- Maintain accurate and updated employee records and HR documentation.
- Prepare and coordinate payroll inputs and employee-related data.
- Support PF, ESIC, gratuity, and other statutory compliance documentation and filings.
- Maintain employment contracts, HR forms, and other employee documentation.
- Ensure timely completion of HR operational and compliance-related paperwork.
2. Office Administration & Facilities
- Manage the day-to-day functioning and upkeep of the office.
- Coordinate with housekeeping, security, maintenance, and facility service providers.
- Ensure timely resolution of AC, electrical, plumbing, internet, and other office maintenance requirements.
- Monitor office supplies, stationery, pantry requirements, and general workplace needs.
- Maintain records related to office expenses, petty cash, and administrative purchases.
3. Reception & Visitor Management
- Manage the reception area and act as the first point of contact for visitors and guests.
- Welcome visitors professionally and ensure a comfortable waiting experience.
- Maintain visitor logs and coordinate meeting arrangements where required.
- Handle basic hospitality requirements such as water, tea/coffee, and visitor assistance.
- Manage incoming calls, couriers, and general office communication.
4. Vendor & Service Provider Management
- Coordinate with office vendors and service providers for timely delivery of products and services.
- Manage vendors related to IT, office supplies, housekeeping, security, couriers, snacks, insurance, travel, and other administrative requirements.
- Track invoices, payments, renewals, and service schedules.
- Maintain professional communication and ensure vendors meet expected service standards.
- Negotiate and coordinate routine administrative requirements within approved budgets.
5. General Administration
- Maintain proper documentation and records for administrative activities.
- Coordinate travel, courier, procurement, and other office-related requirements.
- Support internal HR and administrative activities as required.
- Identify operational gaps and proactively resolve day-to-day workplace issues.
- Ensure confidentiality and discretion while handling employee information, salaries, personal data, and other sensitive documents.
What We’re Looking For
- 2–5 years of hands-on experience in office administration and HR operations.
- Strong experience in employee onboarding and HR compliance documentation.
- Practical exposure to PF, ESIC, employee records, contracts, and payroll inputs.
- Experience managing office facilities, vendors, housekeeping, security, and maintenance.
- Comfortable handling reception and interacting professionally with employees, candidates, visitors, and vendors.
- Strong organisational and follow-up skills with the ability to independently manage multiple tasks.
- Good written and verbal communication skills, particularly in professional emails and employee communication.
- High level of discretion while handling confidential employee and company information.
- Proficiency in MS Office/Google Workspace and basic HR/admin systems.
Pay: ₹35,000.00 - ₹45,000.00 per month
