Job Summary
The Clinic Manager is responsible for the overall administration and operational efficiency of the clinic. The role ensures smooth day-to-day functioning, excellent patient experience, staff productivity, compliance with healthcare regulations, and achievement of business objectives. The Clinic Manager serves as the bridge between management, doctors, and support staff to maintain high operational and service standards.
Key Responsibilities1. Clinic Operations
- Oversee daily clinic operations and ensure seamless workflow.
- Ensure smooth patient appointments, registrations, consultations, and treatment coordination.
- Monitor patient waiting time and service quality.
- Maintain cleanliness, hygiene, and infection control standards throughout the clinic.
2. Team Management
- Supervise Front Office Executives, Dental Assistants, Housekeeping, and Support Staff.
- Prepare and monitor duty rosters and shift schedules.
- Conduct staff briefings and performance reviews.
- Ensure discipline, attendance, grooming, and adherence to company policies.
- Train and mentor employees to improve operational efficiency.
3. Patient Experience
- Ensure exceptional customer service at every patient touchpoint.
- Resolve patient concerns, complaints, and escalations promptly.
- Maintain high patient satisfaction ratings.
- Ensure proper patient follow-up and recall systems.
4. Financial & Revenue Management
- Monitor daily collections and billing accuracy.
- Verify cash, card, UPI, and insurance transactions.
- Ensure daily financial reconciliation and reporting.
- Achieve monthly revenue and operational targets.
- Monitor outstanding payments and coordinate collections.
5. Inventory & Asset Management
- Monitor stock levels of dental materials, medicines, and consumables.
- Coordinate procurement and vendor management.
- Prevent wastage and stock shortages.
- Ensure preventive maintenance of dental equipment and clinic infrastructure.
6. Compliance & Quality
- Ensure compliance with applicable labour laws, biomedical waste rules, fire safety requirements, infection control protocols, and internal SOPs.
- Maintain statutory records and operational documentation.
- Support NABH/ISO quality initiatives where applicable.
- Ensure confidentiality of patient information.
7. Business Development
- Support marketing campaigns and promotional activities.
- Improve patient retention and referral generation.
- Coordinate with the marketing team for local outreach programs.
- Monitor clinic performance indicators and recommend improvements.
8. Reporting
- Submit daily, weekly, and monthly operational reports.
- Monitor KPIs including:
- Patient footfall
- Conversion rates
- Revenue
- Treatment acceptance
- Patient satisfaction
- Staff productivity
- Inventory utilization
Qualifications
- Bachelor's Degree in Hospital Administration, Healthcare Management, Business Administration, or a related field.
- MBA/MHA preferred.
- Minimum 3–5 years of experience in healthcare or dental clinic operations, with prior supervisory or managerial responsibility preferred.
