ROLE OVERVIEW
As Office Administrator, you will be responsible for the smooth day-to-day functioning of our office. You will manage front-desk and vendor coordination, office supplies and facilities, travel and logistics support, basic documentation, and provide administrative support to various teams including HR, Finance, and Operations. This role suits someone who is proactive, detail-oriented, comfortable multitasking, and enjoys keeping things organized in a fast-paced fintech/NBFC environment.
WHAT YOU'LL DO
- Manage front-desk operations: greet visitors, handle calls and courier/dispatch, and maintain a professional office environment
- Oversee office supplies and inventory: track stock of stationery, pantry, and office consumables, and place timely reorders
- Coordinate with vendors and service providers: housekeeping, pantry, AMC/facility vendors, and courier partners, ensuring timely service and invoice follow-up
- Support facilities management: raise and track maintenance requests, coordinate repairs, and ensure the office is well-maintained and audit-ready
- Handle travel and logistics: arrange domestic travel bookings, hotel accommodation, and cab bookings for employees and visiting stakeholders
- Assist with onboarding logistics: prepare workstations, ID cards, and welcome kits for new joiners in coordination with HR and IT
- Maintain administrative records: organize files, agreements, AMC contracts, and vendor documentation for easy retrieval and audit purposes
- Support basic accounts/admin tasks: process petty cash, verify vendor bills, and coordinate with Finance for timely payment processing
- Coordinate meetings and events: schedule meeting rooms, arrange logistics for internal events, town halls, and client visits
- Ensure compliance and safety: maintain visitor logs, fire safety and housekeeping checklists, and support statutory/compliance audits as required
- Provide cross-functional administrative support: assist HR, Finance, and Operations teams with day-to-day administrative requirements
WHAT WE'RE LOOKING FOR
- Graduate in any discipline with a minimum of 1+ years of experience in office administration, facilities, or front-office roles
- Working knowledge of MS Office (Word, Excel, Outlook) for maintaining records, trackers, and basic correspondence
- Strong organizational skills: ability to manage multiple tasks, vendors, and timelines without dropping details
- Good communication skills: comfortable coordinating with employees, vendors, and senior stakeholders professionally
- Proactive and solution-oriented: able to anticipate office needs and resolve day-to-day issues independently
- Basic understanding of expense tracking, petty cash handling, and vendor invoice processing
- Ability to maintain confidentiality and handle sensitive documents responsibly, given the regulated nature of the business
- Comfortable working from office full-time and available to support occasional early/late requirements around events or audits
GOOD TO HAVE
- Prior experience in a fintech, NBFC, BFSI, or financial services company
- Experience coordinating with facility management or security agencies in a corporate office setup
- Exposure to vendor negotiation and AMC/contract renewal processes
- Familiarity with basic HRMS or admin/ticketing tools for tracking requests and approvals
Pay: ₹240,000.00 - ₹300,000.00 per year
