Job Title: Accounts cum Administrative Assistant
Job Summary
We are looking for a detail-oriented and organized Accounts cum Administrative Assistant to manage day-to-day accounting operations, administrative functions, HR support, vendor coordination, and office management. The ideal candidate should have strong knowledge of accounting practices, excellent organizational skills, and the ability to handle multiple responsibilities efficiently.
Key Responsibilities:
Accounts & Finance
- Maintain petty cash and cash payment records.
- Record purchase, sales, journal, and company transfer entries.
- Prepare and maintain sales and purchase invoices.
- Record bank payment and receipt entries.
- Perform bank reconciliation on a regular basis.
- Pass expense and provision entries, including salary provisions.
- Handle day-to-day banking activities, including RTGS, NEFT, cheque deposits, and other banking transactions.
- Ensure compliance with GST and TDS requirements.
- Assist with monthly and year-end accounting activities.
- Perform Tally accounting and maintain accurate financial records.
- Handle other accounting-related tasks as assigned.
Payroll & HR Administration
- Prepare monthly salary sheets.
- Generate salary slips.
- Process salary booking entries in Tally.
- Record salary advances and deductions.
- Maintain employee attendance records.
- Maintain employee leave records (Excel and manual registers).
- Generate offer letters, appointment letters, and other employee documents.
- Maintain complete employee personnel files and records.
Procurement & Vendor Management
- Identify suitable vendors and obtain quotations for required materials and services.
- Prepare purchase orders (PO) and work orders (WO).
- Prepare quotation comparison sheets for management approval.
- Coordinate with vendors for timely delivery and services.
- Complete vendor registration and maintain vendor documentation.
- Monitor vendor performance and progress reports.
- Follow up on payment collections, purchase orders (PO), and delivery orders (DO).
Administration
- Handle front desk enquiries and provide administrative support.
- Interact professionally with teachers, parents, vendors, and visitors.
- Draft professional emails and correspondence.
- Maintain office records, files, and policy documents.
- Ensure timely AMC (Annual Maintenance Contract) visits and service follow-ups.
- Monitor office CCTV/camera systems.
- Manage general office administration and ensure smooth daily operations.
- Assist in organizing and managing administrative aspects of school events.
- Coordinate outside office work related to banking, government offices, vendors, and other official accounting or administrative activities.
Required Skills & Qualifications
- Bachelor's degree in Commerce (B.Com) or equivalent.
- 2–5 years of experience in accounting and administration.
- Working knowledge of Tally ERP/Tally Prime.
- Good understanding of GST, TDS, bank reconciliation, payroll, and bookkeeping.
- Proficiency in MS Excel, MS Word, MS PowerPoint and email communication.
- Excellent verbal and written communication skills in English.
- Good command of business email drafting and professional correspondence.
- Strong interpersonal skills with the ability to communicate effectively with management, teachers, parents, vendors and other stakeholders.
- Strong organizational, analytical, and documentation skills.
- High level of accuracy and attention to detail.
- Ability to maintain confidentiality while handling financial and employee records.
- Ability to prioritize multiple tasks, work independently, and meet deadlines.
- Positive attitude, professional appearance, and strong customer service orientation.
Preferred Candidate Profile
- Experience in a school or educational institution will be an added advantage.
- Experience in preparing documentation and coordinating for ISO certification (or assisting during ISO audits and compliance processes) will be an added advantage.
- Familiarity with office administration, procurement, and vendor management.
- Ability to handle front office responsibilities confidently and professionally.
Pay: ₹8,454.25 - ₹33,159.94 per month
