Job Description:
The Hospital Receptionist / Front Office Assistant serves as the first point of contact for patients and visitors, ensuring a welcoming environment and smooth administrative flow. The role involves patient registration, appointment scheduling, billing coordination, and communication support between departments, while maintaining confidentiality and high standards of customer service.
Key Responsibilities:
1. Patient Reception and Registration
· Greet and assist patients, visitors, and attendants courteously.
· Register new patients and update existing patient records in the Hospital Information System (HIS).
· Ensure accurate entry of demographic and insurance details.
2. Appointment and Scheduling
· Manage appointments for consultants, diagnostic services, and follow-ups.
· Coordinate with nursing stations, diagnostic areas, and OPD departments for patient flow management.
· Inform patients about delays, cancellations, or schedule changes.
3. Communication and Coordination
· Welcomes and greets all patients and visitors, in person or over the phone
· Handle incoming calls, inquiries, and messages professionally without delay.
· Provide accurate information about hospital services, visiting hours, and policies.
· Assist in coordinating ambulance services, patient transfers, or admissions.
· Should be pleasant, Professional and articulate speech manners.
· Telephone etiquette, customer service, basic word, and excel programs, time management, multi-tasking, organization, scheduling.
4. Record Management
· Maintain front office registers (visitors, calls, appointments, complaints, etc.).
· Maintain register for the outgoing calls. Ensuring the required calls by various departments is transferred on time.
· Ensure proper filing and confidentiality of patient-related documents.
· Support in compiling daily/weekly/monthly front office reports.
· Maintaining the incoming and outgoing mail’s registers for the documents received by post our couriers.
5. Customer Service
· Address patient queries and grievances courteously or escalate them to the appropriate authority.
· Ensure a clean and organized front desk area.
· Maintain a professional appearance and demeanor at all times.
· Identifying Vulnerable patients and providing them assistance as and when required.
- Follow-up with the OPD Consultants for the OPD Consultation timing and ensuring if they will be coming on time for the OPD.
6. Other Important Responsibilities
- Following the hierarchy policy as per the organogram and working as per the same.
- All work prescribed by the management time to time as per the exigencies.
- Facilitates patient flow by notifying and being aware of delays, and communicating with patients and clinical staff. Protects patient confidentiality, logging off the computer before leaving it unattended.
· Taking care of the security criteria in the reception area in co ordination with the security supervisor.
Qualifications & Experience:
· Minimum Qualification: Graduate (preferably in Hospitality, Healthcare Administration, or any discipline).
· Preferred Experience: 1–3 years of experience in hospital front office/reception operations.
· Computer Skills: Proficiency in MS Office and Hospital Information Systems (HIS).
· Language Skills: Fluency in English, Hindi, and local language i.e. Marathi and Gujarati.
