Job purpose
The Hostel Warden is responsible for the day-to-day management and smooth operation of the University Hostel, ensuring a safe, secure, welcoming, and well-maintained living environment for students. The role involves overseeing hostel operations, coordinating with service providers, managing student welfare, resolving accommodation-related issues, ensuring compliance with health and safety standards, and supporting an excellent student residential experience.

Oversee the daily operation and administration of the University Hostel, ensuring high standards of cleanliness, safety, and student satisfaction.
- Coordinate student check-ins, check-outs, room allocations, room inspections, and maintain accurate accommodation records.
- Act as the primary point of contact for students regarding accommodation-related queries, concerns, complaints, and emergencies.
- Liaise with housekeeping, security, maintenance, catering, and external service providers to ensure timely resolution of operational issues.
- Conduct regular inspections of hostel facilities and report maintenance requirements while ensuring timely follow-up and resolution.
- Ensure compliance with hostel policies, health & safety regulations, fire safety procedures, and emergency response protocols.
- Monitor student conduct within the hostel and address disciplinary or behavioural concerns in accordance with University policies.
- Assist in organizing student engagement activities that promote a positive residential community and student wellbeing.
- Prepare operational reports, maintain records, monitor inventory, and support budgeting and procurement activities related to hostel operations.
Special Requirements
- Flexibility to work evenings, weekends, public holidays, and on-call during emergencies.
- Residence within the University Hostel may be required.
- Ability to respond promptly to emergency situations.
- Willingness to work in a student-focused multicultural environment.
- Basic knowledge of health & safety and emergency response procedures.
Qualification & Experience
- Bachelor's degree Minimum 3–5 years' experience in hostel, student accommodation, or facility management.
- Experience handling student or customer-facing operations. Experience working in a university or educational institution. (Desirable)
- First Aid or Fire Safety certification. (Desirable)
Skills & Competencies
- Excellent communication and interpersonal skills. Strong problem-solving and conflict resolution abilities.
- Customer service orientation.
- Good organisational and administrative skills. Ability to manage multiple priorities.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Ability to maintain confidentiality and professional conduct.
- Experience using accommodation/property management systems. (Desirable)
- Knowledge of health & safety legislation and hostel operations. (Desirable)
