The Office Administrator is responsible for ensuring the smooth day-to-day operations of the office by managing administrative activities, coordinating with various departments, maintaining records, handling office facilities, and providing administrative support to management. The role requires excellent organizational skills, communication abilities, and attention to detail.
Key Responsibilities:Administrative Responsibilities
- Manage daily office operations and administrative activities.
- Maintain office records, files, and documentation.
- Handle incoming and outgoing correspondence, emails, and courier services.
- Prepare reports, letters, presentations, and other business documents.
- Schedule meetings, appointments, and maintain calendars.
- Maintain office stationery and ensure adequate inventory.
- Coordinate office maintenance and housekeeping activities.
Facility Management
- Ensure proper maintenance of office infrastructure and equipment.
- Coordinate repairs and maintenance with vendors.
- Monitor office cleanliness and safety standards.
- Supervise housekeeping, pantry, and security staff.
Vendor Management
- Identify and coordinate with vendors for office requirements.
- Maintain vendor agreements and service records.
- Process purchase requests and monitor office expenses.
- Verify invoices before forwarding for payment.
Asset Management
- Maintain records of company assets.
- Track issuance and return of office equipment.
- Conduct periodic asset verification.
Employee Support
- Coordinate employee travel arrangements and accommodation when required.
- Assist HR in onboarding formalities and document collection.
- Maintain employee attendance-related administrative records.
- Support employee engagement and office events.
Compliance & Documentation
- Ensure all office licenses, insurance, and statutory documents are updated.
- Maintain confidential company records.
- Support audits by providing required administrative documentation.
Coordination
- Coordinate with HR, Finance, Sales, Operations, and other departments.
- Assist management with administrative tasks and special projects.
- Follow up on pending administrative activities.
Pay: ₹10,000.00 - ₹15,000.00 per month
