Job Summary
The DBM Operator maintains and manages all workshop-related data — job cards, vehicle service history, spare parts usage, warranty claims, and customer records — within the Dealer Management System (DMS) or ERP software. The role ensures data accuracy, timely updates, and easy retrieval of records to support smooth workshop operations, billing, and warranty/claims processing.
Key Responsibilities
1. Data Entry & Record Maintenance
- Create and update job cards for every vehicle entering the workshop (registration number, chassis/engine number, complaint details, kilometers run).
- Enter labor hours, spare parts consumed, and service charges into the DMS/ERP accurately.
- Maintain vehicle service history and warranty status records.
2. Warranty & Claims Support
- Enter and track warranty claim data as per OEM (Ashok Leyland) guidelines.
- Upload supporting documents/photos for warranty claim submissions.
- Follow up on claim status and update records once approved/rejected.
3. Reporting
- Generate daily/weekly/monthly MIS reports (job card status, vehicles in workshop, pending jobs, spare parts consumption, revenue reports).
- Share reports with Service Manager for review and decision-making.
- Maintain data for statutory/compliance purposes (AMC records, free service records, etc.).
4. Coordination
- Coordinate with service advisors, technicians, and spares department to ensure data entered matches actual work done.
- Liaise with OEM's regional/central database team for system updates, portal issues, or claim escalations.
- Support billing/accounts team with accurate data for invoice generation.
5. Data Integrity & System Upkeep
- Ensure no duplicate or incorrect entries in the system.
- Back up critical data periodically (if using local/offline systems).
- Report software glitches or DMS portal issues to IT/OEM support.
6. Customer Data Management
- Maintain customer contact database for service reminders, follow-ups, and satisfaction surveys.
- Ensure confidentiality of customer and vehicle data as per company policy.
Skills & Qualifications
- Education: Graduate / Diploma (Any stream); preference for Commerce, Computer Applications, or Automobile background.
- Experience: 1–3 years in a workshop/service administration role, preferably with exposure to DMS software (e.g., Ashok Leyland's dealer portal or similar ERP).
- Technical Skills: Proficient in MS Excel, data entry, basic ERP/DMS navigation; good typing speed and accuracy.
- Soft Skills: Attention to detail, organized record-keeping, good communication with cross-functional teams (service, spares, accounts).
Pay: ₹9,189.39 - ₹29,730.06 per month
