Job Summary
The Sales Back Office Executive is responsible for supporting the sales team through order processing, customer coordination, documentation, quotation preparation, and maintaining sales records to ensure smooth business operations.
Key Responsibilities
- Prepare quotations, proforma invoices, and sales orders.
- Coordinate with customers regarding orders, dispatch, and delivery status.
- Maintain sales records, customer databases, and MIS reports.
- Coordinate with production, dispatch, and accounts departments.
- Track pending orders and follow up for payments when required.
- Support the sales team in documentation and administrative tasks.
- Handle customer inquiries and provide necessary information.
- Ensure timely and accurate reporting of sales data.
- Maintain confidentiality of customer and company information.
Office Assistance Responsibilities
- Support daily office administration and coordination tasks.
- Maintain files, records, and documentation (physical and digital).
- Assist in preparing letters, emails, invoices, quotations, and reports.
- Coordinate with accounts, sales, and operations teams for routine work.
- Handle basic data entry in MS Excel / ERP systems.
- Manage office supplies and assist in basic inventory tracking.
- Assist management with day-to-day office tasks as required.
Required Skills & Qualifications
- Minimum qualification: 12th / Graduate preferred.
- Good verbal communication skills (local language + basic English).
- Basic knowledge of Tally, MS Office (Word, Excel, Email).
- Polite, professional, and customer-friendly attitude.
- Ability to multitask and handle both calling and office duties.
- Good organizational and follow-up skills.
