Job Description – Front Desk Executive

Position Summary
The Front Desk Executive serves as the first point of contact for patients and visitors at London IVF. The role involves managing patient interactions professionally, coordinating appointments, maintaining accurate records, handling billing support, and ensuring a smooth patient experience while maintaining confidentiality and compassion.
Key Responsibilities Patient Reception & Coordination
- Welcome patients and visitors courteously and guide them through the registration process.
- Schedule, confirm, reschedule, and manage patient appointments efficiently.
- Coordinate with doctors, nursing staff, and laboratory teams regarding patient flow and appointment schedules.
- Provide accurate information regarding clinic services, procedures, and general policies.
Registration & Documentation
- Register new patients and update existing patient records in the hospital management system.
- Collect and verify patient demographic and contact information.
- Ensure all consent forms and required documentation are completed and filed appropriately.
- Maintain confidentiality of patient records in accordance with organizational policies.
Telephone & Communication Management
- Answer incoming calls professionally and respond to patient inquiries.
- Direct calls to the appropriate departments or personnel.
- Follow up with patients regarding appointment reminders and schedule changes.
- Address patient concerns promptly and escalate issues when necessary.
Billing & Administrative Support
- Coordinate with the billing department for consultation payments and invoice generation.
- Maintain daily records of appointments and patient visits.
- Assist in preparing reports related to front office activities as required.
- Ensure accurate handling of receipts and payment records.
Customer Service
- Deliver a positive and compassionate experience to patients and their families.
- Manage patient waiting areas and ensure a comfortable environment.
- Handle patient feedback professionally and communicate concerns to management.
- Maintain a high standard of professionalism, grooming, and etiquette.
Qualifications & Experience
- Bachelor's degree in any discipline.
- Minimum 1–3 years of experience in front office, reception, customer service, or healthcare administration.
- Experience in hospitals, IVF clinics, diagnostic centers, or healthcare settings will be preferred.
- Proficiency in MS Office and hospital management software is an advantage.
Required Skills
- Excellent verbal and written communication skills in English and Telugu. Knowledge of Hindi will be an added advantage.
- Strong interpersonal and customer service skills.
- Ability to handle sensitive situations with empathy and discretion.
- Good organizational and multitasking abilities.
- Attention to detail and accuracy in documentation.
- Professional appearance and positive attitude.
Working Conditions

Compensation
Salary and benefits will be offered in line with the candidate's qualifications, experience, and organizational policies.
Pay: ₹15,000.00 - ₹25,000.00 per month
