We are seeking a highly organised and strategically minded Operations Manager to oversee Blue Polaris's daily business operations across our distributed IT workforce. In this role, you will optimise internal processes, scale infrastructure, and ensure seamless cross-functional collaboration — enabling our distributed technical teams to thrive and deliver exceptional results for clients globally.
KEY RESPONSIBILITIES
Process Optimisation: Design, implement, and continuously improve internal workflows, Standard Operating Procedures (SOPs), and cross-departmental communication frameworks to maximise operational efficiency across a fully remote environment.
IT Infrastructure Management: Oversee the procurement, licensing, asset tracking, and security compliance of all internal software tools, hardware, and SaaS platforms. Ensure IT infrastructure is scalable, secure, and aligned with business growth targets.
Remote Team Enablement: Partner with HR and department heads to refine onboarding programmes, foster a strong remote team culture, and implement and manage performance-tracking systems that support employee growth and accountability.
Vendor & Budget Management: Negotiate and manage contracts with third-party vendors, software subscription renewals, and service agreements. Oversee operational budgets, monitor spend against targets, and deliver regular variance analyses to Finance.
KPI & Operational Reporting: Define, track, and report on key operational metrics. Identify bottlenecks, inefficiencies, and emerging risks, and present data-driven solutions and recommendations to the executive leadership team.
Quality & Compliance: Monitor daily operational output, enforce quality controls and service standards, and ensure all business processes comply with relevant legal, regulatory, data protection, and safety standards across all operating jurisdictions.
Team Leadership: Recruit, onboard, train, supervise, and mentor operations staff. Set clear performance expectations using defined KPIs, conduct regular performance reviews, and build a high-performing operations function.
Cross-Functional Collaboration: Serve as the central connector and operational bridge between departments — including Finance, HR, Sales, Delivery, and Technology — to resolve roadblocks, align priorities, and ensure smooth, end-to-end operations.
QUALIFICATIONS & REQUIREMENTS
Must-Have Requirements
Experience: 8 to 15 years of progressive operations management experience, with a minimum of 5 years in an IT, software, or technology services company. Demonstrated track record of owning and improving operations at scale.
Remote Work Mastery: Proven ability to manage and coordinate fully distributed teams across multiple time zones. Experience building virtual team culture, remote engagement frameworks, and asynchronous communication best practices.
IT Operations Acumen: Strong working knowledge of IT service management (ITSM) frameworks (ITIL preferred), cloud operations, SaaS vendor management, and enterprise software lifecycle management.
Tech Stack Proficiency: Hands-on expertise with cloud-based collaboration tools (Google Workspace, Microsoft 365, Slack), project management platforms (Jira, Asana, Monday.com), and HRMS/ERP systems.
Analytical Capability: Strong data analysis skills with experience building operational dashboards, tracking KPIs, managing departmental budgets, and using data to drive strategic decisions.
Leadership: Demonstrated experience directly managing and mentoring operational staff; ability to lead through influence across functions without direct authority.
Communication: Exceptional written and verbal communication skills in English. Ability to produce executive-level reports, SOPs, and process documentation with clarity and precision.
Preferred
Certifications: PMP (Project Management Professional), ITIL v4, Lean Six Sigma (Green Belt or above), or equivalent operations/quality certifications.
ISO Experience: Familiarity with ISO/IEC 27001:2022 (Information Security) or ISO 9001:2015 (Quality Management) compliance frameworks is a strong advantage.
Finance Exposure: Experience working with finance teams on P&L management, revenue operations, or business unit cost control.
Startup / Scale-up Background: Experience scaling operations in a high-growth IT startup or technology consultancy (Series A–C or equivalent growth stage).
Tools: Exposure to Vogsy, BambooHR, Zoho One, Harvest, or similar professional services automation (PSA) platforms.
Education
Bachelor's degree in Business Administration, Operations Management, Information Technology, or a related discipline (required).
MBA or equivalent postgraduate qualification in Management, Operations, or Technology Management (preferred).
