Role Summary
The Accounts Executive is responsible for day-to-day accounting operations including invoice processing, vendor payments, customer receipts, bank & cash entries, ledger maintenance, reconciliations, and compliance support (GST/TDS). The role ensures books are accurate, documents are properly maintained, and timely reporting is enabled for management decisions.
Key Responsibilities1) Daily Accounting & Bookkeeping
- Record all transactions in the accounting system / ERP / Tally (sales, purchase, expenses, receipts, payments, journal entries).
- Maintain cash & bank books with proper narration and supporting documents.
- Verify coding/heads for expenses and ensure entries are posted to correct ledgers/cost centers/projects.
- Maintain documentation for all entries (invoice, PO/WO, delivery proof, approval emails, etc.).
2) Vendor Billing & Payments (Accounts Payable)
- Verify vendor bills against PO/WO, GRN/material inward, measurement sheets, or service completion confirmations.
- Ensure approvals are taken as per internal payment process before posting bills.
- Prepare vendor payment statements and coordinate payment scheduling with management.
- Track advances, retention, debit/credit notes, and vendor outstanding.
- Communicate with vendors for statement reconciliation and missing documents.
3) Customer Billing & Collections (Accounts Receivable)
- Generate invoices as per contract/WO terms, milestone completion, or agreed billing schedules.
- Track customer collections and follow up with internal teams for pending receivables.
- Post receipts accurately and allocate against invoices/projects.
- Maintain customer ageing reports and escalation of critical overdue items.
4) Bank, Cash & Reconciliations
- Perform bank reconciliation (BRS) periodically (daily/weekly/monthly).
- Reconcile cash book, petty cash, and expense vouchers.
- Track cheque/NEFT/RTGS status and update payment registers.
5) GST / TDS / Statutory Compliance Support
- Ensure GST invoices are compliant (GSTIN, HSN/SAC, place of supply, tax breakup).
- Assist in GST filings preparation: outward/inward data coordination, ITC checks, vendor GST compliance follow-ups.
- Track and assist with TDS deductions, challans, and returns (as applicable).
- Maintain statutory files for audit and compliance readiness.
6) Reporting & MIS
- Prepare and update:
- Vendor outstanding & ageing
- Customer outstanding & ageing
- Daily cash/bank position
- Project-wise expense tracking (if applicable)
- Payment tracker / payment planner
- Provide data for monthly closing, trial balance support, and management reports.
7) Month-End / Year-End Support
- Assist in month-end closing activities: provisions, accruals, prepaid adjustments.
- Support statutory audit/internal audit by arranging vouchers and responding to queries.
- Maintain proper filing (physical + digital) of vouchers and supporting documents.
8) Coordination & Internal Control
- Coordinate with procurement, projects, HR, and management for approvals and document flow.
- Follow internal controls for payment authorization, bill verification, and documentation.
- Suggest improvements in accounting process, filing system, and payment governance.
Required Skills & Competencies
- Strong understanding of accounting basics: ledgers, vouchers, debit/credit, P&L concepts.
- Working knowledge of GST & TDS fundamentals.
- Proficiency in MS Excel / Google Sheets.
- High attention to detail and ability to work with deadlines.
Qualifications
- B.Com / M.Com (preferred)
- Additional certification in Tally/GST is a plus
Experience
- 1–4 years in accounting operations (construction/interiors/real estate experience preferred)
Tools / Systems (Preferred)
- Tally Prime / Zoho Books / ERP
- Google Workspace (Sheets/Drive)
- Basic knowledge of e-invoicing/e-way bill (if applicable)
Performance Indicators (KPIs)
- Timeliness and accuracy of entries
- Vendor bills processed on time with complete documentation
- Payment cycle adherence & vendor/customer ageing control
- BRS accuracy and closure time
- Compliance readiness (GST/TDS support, audit documentation)
