Position Summary / Objective
This role is to support the Audit partners and team with administration. The role will also be responsible for supporting the team with regards meetings, functions, setting up and coordinating inductions and billing. The role will also be responsible for any ad hoc administration tasks to support the team.
Key Responsibilities:
The responsibilities of the role are, but not limited to the following:
Administration and PA

Organising the timely request of bank and solicitor confirmation letters, and other audit circularisation’s (including ASIC searches, property searches) as required, including managing the process and holding audit teams to account when not requested.

Performing day-to-day PA functions, such as letter writing and appointment facilitation for partners and senior team members.

Formatting of documents and presentations as required.
- Run reports as required from MYOB.

Completing timely expense claims for partners.
- Book flights and accommodation as required via travel partners.
General administration which could include formatting, drafting of letters, emails on behalf of partners

Client Administration

Raise bills and holding managers to account for the completion of bills raised.
- Set up new clients on relevant platforms (MYOB/CRM) and ensure that appropriate conflict checks and anti-money laundering due diligence requirements are met.

Research new and current clients, source financial reports from online sources (websites or via ASIC).
Meeting Coordination

Organising meetings for partners and team and ensuring key communications are extended to team members following meetings.

Organising external and internal audit client meetings.
Booking meeting rooms and organising catering where appropriate.

Team

Liaising with the Admin, IT and HR teams for the onboarding of new staff and contractors.

Track annual appraisals are booked in and report back to managers and partners of any not booked, held or finalised in PKF People system

Track and manage the job-by-job feedback process to ensure completed on a monthly basis and report back to managers and partners of progress.

Review timesheet entries for leave taken including personal, annual and study leave and ensure leave forms have been submitted – work with payroll on this
Qualifications, skills, and experience required:

Previous Administration and PA experience.

Strong attention to detail.

Highly developed diary management and prioritisation skills.

Independent ability to manage several ongoing tasks at one time.

Timely, proactive and friendly.

An understanding of Audit or the Finance Industry will be highly regarded.
