Job Description
We are looking for an Executive Assistant who can serve as a trusted partner to senior management by providing seamless administrative, organisational, and communication support. This role requires exceptional organisational skills, sound judgment, and the ability to anticipate priorities while managing multiple responsibilities with professionalism and discretion.
Your Key Responsibilities
Calendar and Schedule Management
- Manage the executive's calendar with full context of business priorities, proactively resolving conflicts and proposing trade-offs.
- Anticipate scheduling needs and follow up on time-sensitive emails or requests with minimal prompting.
- Prepare and manage expense reports and reimbursements in line with company policy.
- Record meeting minutes where required, track action items, and ensure timely follow-through.
- Support the project team members in managing travel
Communication and Coordination
- Serve as the primary point of contact between the executive, internal teams, clients, and external stakeholders, ensuring seamless communication and coordination.
- Draft, proofread, and manage correspondence, presentations, and meeting notes on the executive's behalf.
- Screen and prioritise incoming calls, emails, and requests, escalating only what needs direct executive attention.
Confidentiality and Professionalism
- Handle confidential business, financial, and personal information with absolute discretion and professionalism.
- Maintain secure, well-organised documentation and filing systems for contracts, reports, and correspondence.
- Exercise sound judgment on what information is shared, with whom, and when.
Qualifications
- Bachelor's degree in any discipline from a recognised university.
- Strong command of spoken and written English
- 1 to 3 years in an Executive Assistant, Administrative Assistant, Office Coordinator or similar role
Preferred Skills and Attributes
- Exceptional written and verbal communication skills
- Proficiency with Microsoft Office (Excel, PowerPoint, Outlook, Word) and Google Workspace.
- Familiarity with Microsoft Teams, Zoom, and calendar management tools
- Demonstrates ownership, resourcefulness, reliability, and the ability to work independently with minimal supervision.
- Confident liaising with senior management, clients, and external stakeholders
- Excellent organisational skills with strong attention to detail
- Ability to multitask and prioritise under pressure
- Quick learner, adaptable to new tools and changing priorities
