Job Opening: Front Office Executive – Admin

About the Role:
We are looking for a dynamic, well-groomed and organized individual, to be the face of our organization. In this dual role, you will need to manage the front desk operations, conduct smooth daily administrative tasks and create a welcoming impression for all those who come through our doors.
Key Responsibilities:
1) Front Desk & Client Relations: -
- Welcoming all visitors, candidates and clients, with a warm demeanor.
- Handling all incoming phone calls, rerouting the incoming or outgoing inquiries to their respective departments and overseeing e-mail correspondence.
- Maintaining accurate physical logs for visitors and office staff.
2) Office Administration & Coordination: -
- Ensuring the general daily upkeep and aesthetic of the office space.
- Updating and managing digital logs of all incoming/outgoing couriers and who is it to be given to, track office supply inventories (stationery, pantry, etc.) and placing restocking orders in a timely manner.
- Coordinating with external vendors in respect to office welfare and maintenance for smooth office functioning.
- Updating digital address books and tracking of employee birthdays & anniversaries
- Supervising the conference room calendar and coordinating the scheduling of meetings being held in our office premises.
- Coordinating with our office staff using the PABX dialer for smooth task transition.
- Engaging in placing orders for employee or office celebrations.
3) Cross-Functional & HR Support: -
- Assisting our teams with documentation, employee attendance tracking (daily & monthly), creating visiting cards & work ID’s for PAN India employees.
- Working on Greetings & Certificates for PAN India employees, ensuring it is dispatched monthly.
- Assisting our teams with bills received and its updation into our system.
- Assisting with admin functions such as biometric ID creation/deletion on our hardware and software for attendance purposes.
Candidate Profile & Qualifications:
- Education: Graduate in any discipline.
- Experience: 1–3 years’ experience in front office, guest relations, or corporate administration (preferred).
*Freshers with exceptional communication skills and willingness to learn, may be considered.
Tech Savvy: Good Knowledge in MS Office (Word, Excel, Outlook)
- Strong verbal and written English skills.
- A Multitasker with good time-management and organizational capabilities.
