Senior Operations Manager – Import/Export, Documentation & Client Relations
Job Summary:
We are seeking an experienced Senior Operations Manager to oversee global supply chain operations, direct international trade documentation, and lead client relationship management. This role requires end-to-end management of import/export logistics, absolute regulatory compliance, efficient workflow design, and proactive client retention strategies.
Key Responsibilities
1. Import/Export Operations & Logistics Management
- Oversee multi-modal international freight operations (air, ocean, customs clearance, and inland distribution).
- Optimize end-to-end supply chain pipelines to minimize transit times, lower demurrage costs, and maintain target profit margins.
- Audit and negotiate contracts with freight forwarders, carriers, customs brokers, and third-party logistics (3PL) providers.
- Address supply chain bottlenecks, transport delays, or customs holds with immediate corrective action plans.
2. Trade Documentation & Regulatory Compliance
- Ensure total compliance with local and international trade laws, customs regulations, and export controls.
- Direct the preparation and validation of critical shipping documents, including Bills of Lading, Commercial Invoices, Packing Lists, Certificates of Origin, Letters of Credit (LCs), and Import/Export Licenses.
- Serve as the internal authority for Harmonized System (HS) code classification, duty rates, free trade agreements (FTAs), and tariff structures.
- Establish standard operating procedures (SOPs) for document accuracy to avoid clearance delays and statutory penalties.
3. Client Relationship Building & Key Account Management
- Serve as the senior point of escalation for key clients, building long-term partnerships through transparent service delivery.
- Conduct regular operational reviews with major accounts to assess performance metrics, identify growth areas, and address service challenges.
- Partner with sales and account teams to onboard new clients, establishing clear Service Level Agreements (SLAs) and communication channels.
- Gather client feedback to translate operational requirements into tailored logistical solutions.
4. Team Leadership & Process Optimization
- Lead, mentor, and evaluate the documentation and logistics operations team.
- Implement digitized document workflows, automated tracking tools, and ERP enhancements to boost processing efficiency.
- Monitor operational Key Performance Indicators (KPIs), including document accuracy rate, customs turnaround time, container utilization, and client satisfaction scores.
Qualifications & Requirements
Category Skill / Requirement Education: Bachelor's degree in Supply Chain Management, Logistics, International Business, or related field (Master's/MBA preferred).
Experience: 0-3+ years in international trade/logistics, with at least 3–5 years in a senior managerial capacity.
Technical Knowledge: In-depth expertise in customs clearance procedures, Incoterms 2020, Letters of Credit (LC), and international trade laws.
Software Skills: Proficiency in Enterprise Resource Planning systems (SAP, Oracle, or CargoWise) and freight management tools.
Core Competencies: Strategic negotiations, crisis management, cross-cultural client management, and team leadership.
