About the Role
Gautam Shewa Architects is looking for a proactive, organized, and detail-oriented HR Executive to manage recruitment, employee lifecycle, HR operations, administration, and basic accounts coordination. The ideal candidate should be capable of handling HR responsibilities while supporting the management in day-to-day office operations.
This role requires excellent communication, coordination, follow-up, and multitasking skills in a fast-paced architecture and interior design environment.
Key Responsibilities:
Recruitment & Hiring
- Manage end-to-end recruitment for Architects, Interior Designers, Site Supervisors, Project Coordinators, and Office Staff.
- Prepare and publish job postings on recruitment portals.
- Screen resumes, shortlist candidates, and schedule interviews.
- Coordinate interviews with the management team.
- Conduct initial HR screening and maintain candidate records.
- Coordinate offer roll-out and pre-joining formalities.
Employee Onboarding & HR Operations
- Prepare Offer Letters, Appointment Letters, Confirmation Letters, Experience Letters, Relieving Letters, and other HR documents.
- Complete employee onboarding and exit formalities.
- Collect, verify, and maintain employee records and documentation.
- Maintain attendance, leave records, and employee database.
- Coordinate payroll inputs with the Accounts team.
- Assist in employee performance review processes.
- Handle employee queries and maintain a positive work environment.
- Ensure confidentiality of employee information.
Administration & Office Coordination
- Handle day-to-day office administration and operational activities.
- Schedule meetings, interviews, and management appointments.
- Maintain office records, files, and documentation.
- Coordinate courier services, stationery procurement, and office supplies.
- Coordinate with vendors, consultants, clients, and service providers whenever required.
- Maintain meeting schedules and follow up on action points.
Accounts & Coordination
- Support the Accounts team with payroll inputs, employee reimbursement records, vendor documentation, invoice coordination, and basic accounts-related documentation.
- Coordinate with the Chartered Accountant and other consultants for collecting required documents.
- Follow up on quotations, purchase orders, invoices, approvals, and payment-related documentation.
- Maintain records of vendor documents and support internal documentation whenever required.
Follow-up & Management Support
- Follow up with employees, candidates, vendors, consultants, clients, and project teams for pending documents and approvals.
- Coordinate with Architects, Interior Designers, Site Supervisors, and Project Managers for HR and administrative requirements.
- Track pending tasks and ensure timely completion.
- Prepare recruitment reports, HR reports, and management updates.
- Perform any other HR, Administration, Accounts Coordination, or operational responsibilities assigned by the management.
Candidate Requirements
- Bachelor's or Master's degree in Human Resources, Business Administration, or a related field.
- 2–4 years of HR experience.
- Experience in an Architecture, Interior Design, Construction, or Engineering firm will be preferred.
- Strong communication, coordination, and interpersonal skills.
- Excellent follow-up, organizational, and multitasking abilities.
- Good knowledge of MS Excel, MS Word, and Microsoft Office.
- Basic understanding of payroll coordination and HR documentation.
- Basic knowledge of accounts coordination and office administration will be an added advantage.
- Ability to maintain confidentiality and work independently.
