A Receptionist is responsible for creating a positive first impression by welcoming visitors, answering inquiries, and providing administrative support to ensure smooth day-to-day office operations.
Key Responsibilities
- Greet and welcome visitors in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls.
- Manage the reception area, ensuring it is clean and organized.
- Schedule appointments and maintain calendars.
- Receive, sort, and distribute mail and deliveries.
- Respond to emails and customer inquiries promptly.
- Maintain visitor logs and issue visitor passes when required.
- Perform general administrative tasks such as filing, photocopying, scanning, and data entry.
- Order and maintain office supplies.
- Coordinate with staff and departments to support daily operations.
Required Qualifications
- High school diploma or equivalent (associate's degree is an advantage).
- Previous experience in a receptionist, customer service, or administrative role preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Professional appearance and positive attitude.
