We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to provide remote administrative and executive support to our CEO based in Dubai.
The ideal candidate will have excellent communication skills, strong organizational abilities, and prior experience supporting senior leadership. This role requires someone who can independently manage schedules, coordinate meetings, handle confidential information, and ensure seamless day-to-day administrative operations across different time zones.
Key ResponsibilitiesExecutive Support
- Manage the CEO's calendar, appointments, and daily schedule.
- Coordinate internal and external meetings across multiple time zones.
- Arrange virtual meetings and prepare agendas, minutes, and follow-up action items.
- Handle travel planning, hotel bookings, visa coordination, and itinerary management when required.
Administrative Support
- Manage emails, correspondence, and executive communications.
- Prepare reports, presentations, spreadsheets, and business documents.
- Organize and maintain confidential files and records.
- Draft professional emails, letters, and meeting notes.
Stakeholder Coordination
- Act as the primary point of contact between the CEO and internal teams.
- Coordinate with clients, vendors, and external business partners.
- Follow up on pending tasks and ensure timely completion of action items.
- Maintain strong professional relationships with stakeholders.
Business Operations Support
- Track ongoing projects and ensure timely follow-ups.
- Prepare MIS reports and executive summaries.
- Coordinate with HR, Finance, Operations, and Sales teams as required.
- Assist in process documentation and administrative improvements.
Requirements
- 3–6 years of experience as an Executive Assistant, Executive Coordinator, or Administrative Assistant.
- Experience supporting senior leadership, founders, directors, or C-level executives.
- Excellent verbal and written English communication skills.
- Strong organizational, multitasking, and time management abilities.
- High level of professionalism and confidentiality.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and Google Workspace.
- Comfortable working with international stakeholders and different time zones.
- Ability to work independently with minimal supervision.
Preferred Skills
- Experience supporting overseas or international clients.
- Strong follow-up and stakeholder management skills.
- Excellent documentation and presentation abilities.
- Exposure to CRM systems, project management tools, or scheduling platforms is an advantage.
