Job Summary
The Operations Executive will work closely with the Operations and Project Management teams to ensure the smooth execution of documentation processes, MIS reporting, preventive maintenance tracking, project coordination, and operational support activities. The role requires a highly organized, detail-oriented, and proactive individual capable of managing multiple tasks while maintaining operational efficiency and compliance.
Key ResponsibilitiesMIS Reporting & Data Management
- Prepare, maintain, and analyze daily, weekly, and monthly MIS reports.
- Consolidate operational data from multiple sources and ensure data accuracy.
- Develop and maintain trackers, dashboards, and reports for management review.
- Monitor key performance indicators (KPIs) and provide actionable insights.
- Ensure timely submission of operational and project reports.
Preventive Maintenance (PM) Documentation
- Maintain and update preventive maintenance records, reports, and checklists.
- Track PM schedules and coordinate with field teams for timely documentation.
- Organize maintenance logs, service reports, and compliance-related records.
- Ensure proper documentation, filing, and archival of maintenance records.
NCC & Project Coordination
- Support documentation and coordination activities for NCC and other operational projects.
- Maintain project trackers, status reports, and project documentation.
- Prepare Minutes of Meetings (MoMs), action trackers, and follow-up reports.
- Assist in project planning, execution tracking, and closure documentation.
- Coordinate with project stakeholders to ensure timely completion of assigned activities.
Operations Support
- Assist in day-to-day operational activities and process monitoring.
- Coordinate with internal departments, vendors, and field personnel for information gathering and follow-ups.
- Track pending tasks, approvals, and documentation requirements.
- Support management in driving operational efficiency and process compliance.
Vendor & Stakeholder Coordination
- Follow up with vendors and project stakeholders for required documents and updates.
- Maintain records of vendor submissions, contracts, and project deliverables.
- Facilitate communication between project teams, vendors, and management.
Process Improvement & Compliance
- Assist in creating, reviewing, and updating Standard Operating Procedures (SOPs).
- Identify documentation gaps and recommend process improvements.
- Standardize templates, trackers, and operational documentation formats.
- Support audits, compliance reviews, and documentation requirements.
Skills & QualificationsEducational Qualifications
- Bachelor's Degree in BBA, B.Com, B.Tech, or any relevant discipline.
- MBA (Operations/Management) candidates are preferred.
- Freshers and candidates with up to 2 years of relevant experience may apply.
Technical Skills
- Proficiency in Microsoft Excel (Pivot Tables, VLOOKUP/XLOOKUP, Data Analysis).
- Microsoft Word and PowerPoint.
- Google Sheets and Google Workspace.
- MIS Reporting and Documentation Management.
- Basic data handling, reporting, and record management skills.
