Job Purpose
The Senior Associate – Front Office acts as the primary ambassador of Woodstock Resorts. You will lead shift operations at the front desk, oversee guest check-ins and check-outs, manage reservations and billing, and ensure that every guest receives prompt, polite, and personalized service throughout their stay.
Key Responsibilities
1. Guest Operations & Reception Management
Warmly welcome arriving guests in accordance with resort standards, ensuring smooth registration and key handover.
Coordinate room assignments based on guest preferences, special requests, and room availability.
Deliver memorable check-out experiences by ensuring accuracy in billing, collecting guest feedback, and handling settlements efficiently.
Escort VIP guests and provide customized orientation regarding resort facilities, dining options, and local Coorg sightseeing attractions.
2. Service Excellence & Complaint Handling
Act as the direct point of contact for guest inquiries, requests, and concerns.
Resolve guest issues promptly and professionally using service recovery techniques, escalating to the Duty Manager when necessary.
Maintain high standards of guest relation etiquette over calls, emails, and in-person interactions.
3. Financial & Administrative Duties
Process cash, credit/debit cards, UPI, and online payments accurately using Property Management System (PMS) software.
Balance cash drawers and complete end-of-shift billing audits accurately.
Handle reservations, walk-ins, and group bookings in coordination with the Reservations & Sales team.
4. Leadership & Inter-Departmental Coordination
Guide and mentor junior front desk associates and bell staff during shifts.
Liaise closely with Housekeeping and Maintenance teams to monitor room statuses (clean, dirty, out of order) to minimize guest wait times.
Coordinate with Travel/Transportation desks for guest pickup and drop-off requests.
Qualifications & Skills Required
Education: Diploma or Bachelor’s degree in Hotel Management / Hospitality (BHM / BBA in Hospitality).
Experience: 2 to 4 years of proven experience in front office operations at a reputed hotel or resort.
Language Skills: Fluency in English, Hindi, and Kannada is essential. Knowledge of Tamil, Malayalam, or Kodava is a strong advantage.
Technical Proficiency: Hands-on experience with hospitality PMS software (e.g., IDS NEXT, Opera, or similar systems) and MS Office.
Interpersonal Skills: Warm personality, excellent communication, problem-solving mindset, and professional grooming standards.
Flexibility: Willingness to work in rotational shifts, including weekends and public holidays, typical of resort operations.
