Job Summary
We are seeking a highly organized, proactive, and trustworthy Executive Assistant to provide comprehensive administrative and operational support to the Managing Director. The ideal candidate will manage schedules, coordinate with internal departments and external stakeholders, prepare reports, follow up on key business activities, and ensure the smooth execution of the MD's daily priorities.
Key Responsibilities
- Manage the MD's calendar, appointments, meetings, and travel arrangements.
- Coordinate meetings with customers, suppliers, vendors, and internal teams.
- Prepare meeting agendas, record minutes of meetings (MOM), and track action items.
- Draft and manage business correspondence, emails, presentations, and reports.
- Follow up with production, quality, maintenance, sales, purchase, accounts, and HR departments on pending tasks.
- Prepare daily, weekly, and monthly MIS reports for the MD.
- Coordinate customer visits, audits, exhibitions, and business meetings.
- Maintain confidential business documents, contracts, and company records.
- Assist in project coordination, business planning, and strategic initiatives.
- Collect and analyze operational data to support business decisions.
- Coordinate with external agencies, consultants, and government authorities when required.
- Monitor task completion and ensure timely execution of management decisions.
- Handle confidential information with professionalism and discretion.
- Perform other administrative and executive support responsibilities assigned by the Managing Director.
Required Skills
- Excellent communication skills in English; knowledge of Tamil and Hindi is an added advantage.
- Strong organizational, planning, and time-management skills.
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook) and Google Workspace.
- Excellent report preparation, documentation, and presentation skills.
- Ability to prioritize multiple tasks and work independently.
- Strong analytical and problem-solving abilities.
- High level of professionalism, integrity, and confidentiality.
Qualifications
- Bachelor's Degree or MBA in Business Administration, Management, Commerce, Engineering, or a related discipline.
Experience
- 2–5 years of experience as an Executive Assistant, Executive Secretary, Management Coordinator, or a similar role, preferably in a manufacturing environment.
Preferred Candidate Profile
- Experience working with senior management in a manufacturing or plastic injection moulding company.
- Strong follow-up skills and the ability to coordinate across multiple departments.
- Familiarity with manufacturing processes, production planning, MIS reporting, and business operations will be an added advantage.
- Self-motivated, detail-oriented, and capable of handling confidential assignments with minimal supervision.
Pay: ₹15,000.00 - ₹25,000.00 per month
