Job Summary
We are looking for a Vendor Management Executive to manage and develop the company’s network of hotels, transporters, DMCs, activity providers, event vendors, and other travel service partners. The candidate will be responsible for vendor sourcing, rate negotiation, contracting, service quality, costing, and maintaining strong vendor relationships to ensure competitive pricing and smooth execution of corporate travel and MICE requirements.
Key Responsibilities
- Identify, evaluate, and onboard new hotels, transporters, DMCs, and other travel vendors.
- Maintain and develop strong relationships with existing vendors.
- Negotiate competitive rates, contracts, payment terms, cancellation policies, and other commercial terms.
- Obtain and maintain updated hotel/vendor rates, packages, and service details.
- Compare vendor quotations and select suitable vendors based on price, quality, availability, and service standards.
- Coordinate with the Sales, Operations, Reservations, and MICE teams for vendor requirements.
- Ensure timely availability of rooms, vehicles, activities, banquet facilities, and other travel services.
- Maintain an updated vendor database with rates, contacts, contracts, inclusions, exclusions, and payment terms.
- Monitor vendor performance, service quality, response time, and adherence to agreed commercial terms.
- Handle vendor complaints, operational issues, and service escalations.
- Conduct regular market research to identify new suppliers and competitive market rates.
- Support the team in costing and preparing competitive quotations for corporate clients.
- Review vendor invoices and coordinate with Accounts for payment-related issues.
- Ensure vendors follow company policies, SOPs, and agreed service standards.
- Maintain proper documentation of vendor agreements, quotations, approvals, and communication.
- Regularly review vendor performance and recommend continuation, improvement, or replacement where required.
Key Skills Required
- Strong negotiation and communication skills.
- Good knowledge of the Corporate Travel and MICE industry.
- Strong vendor relationship management skills.
- Good understanding of hotel rates, transport rates, DMC services, and travel products.
- Ability to compare quotations and identify cost-effective options.
- Good costing and analytical skills.
- Strong follow-up and coordination abilities.
- Good knowledge of MS Excel, Word, and Email communication.
- Ability to work under pressure and meet deadlines.
- Strong problem-solving and decision-making skills.
Preferred Experience
- Experience in Corporate Travel / MICE / Hospitality / DMC / Hotel Contracting / Travel Operations.
- Experience in vendor negotiation and rate contracting will be preferred.
- Candidates with experience handling hotel and transport vendors will have an advantage.
