JOB DESCRIPTION – HR EXECUTIVE (HR & ADMIN)

Job Summary
We are looking for an HR Executive – HR & Administration with 2–4 years of experience, preferably with stronger exposure to administration and statutory compliance than general HR activities.
The ideal candidate should have hands-on experience in PF, ESI, employee records, statutory documentation, office administration, vendor coordination and day-to-day HR operations. The candidate should be organized, responsible and capable of independently handling routine administrative and statutory activities.
Key Responsibilities1. Statutory Compliance – PF & ESI
- Handle day-to-day PF and ESI related activities and employee registrations.
- Prepare and maintain PF/ESI employee data and statutory records.
- Coordinate with employees regarding UAN, PF transfer, PF withdrawal and related queries.
- Handle ESI registration, employee additions/deletions and related documentation.
- Coordinate with statutory consultants/agencies, if applicable.
- Ensure timely collection and submission of required statutory information.
- Maintain PF, ESI and other statutory compliance records and supporting documents.
- Assist in resolving PF/ESI discrepancies and employee queries.
- Support other statutory compliance activities such as Professional Tax, Labour Welfare Fund, etc., as applicable.
2. Administration – Major Responsibility
- Manage day-to-day office administration activities.
- Coordinate with housekeeping, security, transport, maintenance and other facility/service vendors.
- Monitor office supplies, stationery and administrative requirements.
- Maintain records of administrative expenses, AMC agreements and vendor documents.
- Coordinate repairs, maintenance and facility-related requirements.
- Monitor attendance of housekeeping, security and other support staff.
- Handle employee administrative requests and provide timely support.
- Coordinate with vendors for quotations, service requirements and payments.
- Ensure proper maintenance of office records and documents.
- Support management in maintaining a smooth and efficient workplace environment.
3. HR Operations
- Maintain employee personal files and HR documentation.
- Support employee joining and exit formalities.
- Prepare joining documents, employee records and HR trackers.
- Assist in attendance and leave management.
- Coordinate with payroll/accounts team for employee-related information.
- Maintain employee master data and HR MIS reports.
- Support full & final settlement activities.
- Assist in issuing HR letters such as experience letters, relieving letters, confirmation letters and other employee communications.
- Handle routine employee queries related to HR policies, attendance, leave and statutory benefits.
4. Recruitment & Employee Support
- Provide support for recruitment activities as required.
- Coordinate interview schedules and candidate communication.
- Assist with employee onboarding and documentation.
- Coordinate induction activities for new employees.
- Support employees in resolving routine HR and administrative concerns.
Required Skills
- Strong practical knowledge of PF and ESI processes.
- Good understanding of statutory compliance documentation.
- Good knowledge of MS Excel, Word and Outlook.
- Strong administrative and coordination skills.
- Good documentation and record-maintenance skills.
- Good communication and interpersonal skills.
- Ability to coordinate with employees, vendors, consultants and management.
- Ability to handle multiple administrative activities simultaneously.
- Good follow-up and problem-solving skills.
- Should be responsible, organized and detail-oriented.
Educational Qualification
- Graduate in any discipline.
- MBA/PG Diploma in HR or related qualification will be an added advantage.
Experience
- 2–4 years of relevant experience in HR & Administration.
- Candidates with strong Administration + PF/ESI experience will be preferred.
- Candidates with excessive recruitment-only experience or purely general HR exposure may not be suitable for this position.
Preferred Candidate Profile
The ideal candidate should have approximately:
- 60–70% Administration & Statutory Compliance
- 30–40% HR Operations
Strong hands-on exposure to PF, ESI, employee documentation and office administration is preferred.
Pay: ₹20,000.00 - ₹40,000.00 per month
