Job Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and executive support to the Director. The ideal candidate will manage schedules, coordinate meetings, handle confidential information, and ensure smooth day-to-day operations while acting as a trusted point of contact for internal and external stakeholders.
Key Responsibilities
- Manage the Director's calendar, appointments, and travel arrangements.
- Coordinate internal and external meetings, prepare agendas, and record meeting minutes.
- Screen calls, emails, and correspondence, prioritizing communications as appropriate.
- Draft, review, and manage business correspondence, presentations, and reports.
- Handle confidential information with the highest level of discretion.
- Coordinate with internal departments and external clients to ensure timely follow-ups.
- Track action items and ensure completion of assigned tasks.
- Organize business events, conferences, and executive visits.
- Manage expense reports, reimbursements, and administrative documentation.
- Maintain records, files, and important business documents.
- Support special projects and perform additional executive support duties as assigned.
Required Qualifications
- Bachelor's degree in Business Administration, Commerce, or a related field.
- 2–5 years of experience as an Executive Assistant, Personal Assistant, or Executive Secretary supporting senior leadership.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- High level of professionalism and confidentiality.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Experience with calendar management and travel coordination.
