We are seeking a proactive, organized, and detail-oriented Office Assistant cum Event Coordinator to support day-to-day office operations while assisting in the planning and execution of corporate events, exhibitions, conferences, brand activations, and experiential marketing projects.
The ideal candidate should possess strong communication skills, excellent coordination abilities, and the capability to manage multiple tasks in a fast-paced event environment.
Key ResponsibilitiesOffice Administration
- Manage daily office operations and administrative activities.
- Handle incoming calls, emails, and client inquiries.
- Maintain records, files, contracts, and company documents.
- Prepare quotations, invoices, purchase orders, and basic reports.
- Coordinate with vendors, suppliers, and service providers.
- Schedule meetings, appointments, and maintain management calendars.
- Manage office supplies and inventory.
Event Coordination
- Assist in planning, organizing, and executing corporate events, exhibitions, conferences, and activations.
- Coordinate with clients, venues, vendors, and internal teams.
- Prepare event schedules, checklists, and project timelines.
- Track event deliverables and ensure timely completion.
- Assist in obtaining quotations and negotiating with vendors.
- Coordinate logistics, transportation, manpower, and event materials.
- Support on-site event execution when required.
- Prepare post-event reports and documentation.
Client Coordination
- Maintain regular communication with clients regarding project updates.
- Follow up on approvals, payments, and required documentation.
- Ensure high levels of client satisfaction and professional service.
Required Skills

- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
- Good coordination and follow-up skills.

Qualifications
- Graduate in any discipline.
- 1–3 years of experience in administration, customer service, or event coordination preferred.
