1. Position Purpose
The Manager – Plant Administration & Facility is responsible for ensuring smooth, safe, and cost-effective administration of the plant and residential facilities. The role includes facility management, security, housekeeping, transport, canteen, employee accommodation, statutory administration, asset management, vendor management, utility coordination, and support services to ensure uninterrupted manufacturing operations.
2. Key ResponsibilitiesA. Plant Administration
- Manage day-to-day plant administrative operations.
- Ensure proper maintenance of office buildings, production support areas, common utilities, and infrastructure.
- Develop and implement administrative SOPs and standard practices.
- Coordinate with all department heads for administrative requirements.
- Maintain discipline, cleanliness, and professional work environment across the plant.
B. Facility Management
- Maintain plant buildings, roads, drainage, boundary wall, parking areas, gardens, and common facilities.
- Ensure preventive maintenance of civil infrastructure.
- Coordinate repair and maintenance work through internal teams and contractors.
- Monitor electricity, water supply, compressed air support, and other utilities from an administrative perspective.
- Plan facility improvement projects.
C. Housekeeping Management
- Ensure excellent housekeeping standards inside and outside the plant.
- Implement 5S standards throughout the facility.
- Monitor housekeeping contractor performance.
- Ensure availability of cleaning materials and equipment.
- Conduct regular housekeeping audits.
D. Security Management
- Manage plant security operations.
- Ensure proper gate control and visitor management.
- Prevent unauthorized entry and material movement.
- Monitor CCTV surveillance.
- Conduct random security checks.
- Ensure compliance with mobile phone and personal belongings policy.
- Coordinate emergency response with the Security team.
E. Canteen Management
- Manage industrial canteen operations.
- Ensure food quality, hygiene, and statutory compliance.
- Monitor vendor performance.
- Ensure proper menu planning and employee satisfaction.
- Conduct regular food quality inspections.
F. Transportation Management
- Manage employee transportation.
- Coordinate bus routes and vehicle scheduling.
- Monitor transport contractor performance.
- Handle transportation-related complaints.
G. Employee Accommodation Management
- Manage company staff quarters and worker accommodation.
- Ensure proper housekeeping and maintenance.
- Coordinate repairs, water supply, electricity, and security.
- Maintain accommodation records and occupancy.
H. Vendor & Contractor Management
- Identify and evaluate service providers.
- Manage AMCs and annual maintenance contracts.
- Monitor contractor safety and statutory compliance.
- Verify bills and service completion.
- Optimize administrative costs.
I. Asset Management
- Maintain records of office furniture, equipment, and administrative assets.
- Conduct periodic asset verification.
- Ensure proper utilization and disposal of obsolete assets.
J. Statutory Compliance
- Ensure compliance with:
- Factories Act
- Gujarat Factory Rules
- Fire & Safety Requirements
- Pollution Control Board requirements (administrative support)
- Contract Labour Act
- Shops & Establishment requirements (where applicable)
- Support internal and external audits.
K. Event & Employee Welfare
- Organize company events, celebrations, and employee engagement activities.
- Coordinate visitor arrangements and VIP visits.
- Support CSR and employee welfare initiatives.
- Manage conference rooms and meeting facilities.
L. Budget & Cost Control
- Prepare annual administration budget.
- Control facility and administrative expenses.
- Monitor monthly administrative costs.
- Identify cost-saving initiatives.
M. Documentation & MIS
- Maintain administrative records and reports.
- Prepare monthly MIS covering:
- Housekeeping
- Security
- Canteen
- Transport
- Accommodation
- Vendor Performance
- Utility Consumption
- Administrative Expenses
- Maintain AMC and contract records.

4. Educational Qualification
- Graduate in any discipline (MBA/PGDM in Administration preferred) / BBA
5. Experience
- 8–12 years in Plant Administration & Facility Management.
- Minimum 3 years in a Managerial role.
- Experience in Automotive / Engineering / Manufacturing industry preferred.
