The Role: We are seeking a highly organized, warm, and presentable Client Care Coordinator to manage our client interactions and handle daily administrative operations. As the first point of contact for our center, you play a vital role in setting a calming and supportive tone for individuals seeking help.
This role offers a flexible hybrid work model. While you will have the option to work from home for call management and administrative tasks, candidates must reside near the Kazhakuttom locality to seamlessly handle in-office duties when required.
Key Responsibilities
- Warm Client Interactions: Act as the first point of contact, greeting clients (when in-office) with a welcoming, presentable, and professional demeanor.
- Call Management: Answer inbound phone calls with a soft, patient, and empathetic tone—whether from the clinic or your home workspace. Provide basic information about our services and answer general inquiries.
- Scheduling & Follow-ups: Manage the therapists' calendars, schedule and reschedule appointments, and conduct gentle follow-up calls with clients regarding their sessions or inquiries.
- Office Administration: Perform necessary day-to-day tasks, including data entry, managing client files, handling basic billing/invoicing, and ensuring the reception area remains peaceful during your in-office days.
- Client Confidentiality: Maintain the highest level of privacy and discretion regarding client information and center records at all times, including strictly securing data while working from home.
Requirements & Qualifications
- Location: Must currently reside in or very near the Kazhakuttom locality.
- Communication Skills: Exceptional verbal and written communication skills with a clear, soft-spoken, and professional telephone etiquette. Should speak English and Malayalam fluently.
- Interpersonal Skills: High emotional intelligence. Ability to remain calm, patient, and compassionate, especially with clients who may be experiencing distress.
- Presentation: Neat, professional, and approachable appearance that aligns with the calming environment of a counseling center.
- Remote Work Readiness: A reliable internet connection and a quiet, interruption-free space at home to take client calls professionally.
- Organizational Skills: Strong multitasking abilities, attention to detail, and basic computer proficiency.
