The Clinic Coordinator will serve as both the first point of contact for Visitors at the front desk and a support staff member in clinic. This dual role requires balancing administrative duties such as scheduling, registration, and billing, with patient care tasks like vitals monitoring, assisting during consultations, and ensuring a safe and clean clinical environment.
Key Responsibilities
Front Desk & Administration
- Greet and guide patients/visitors with warmth and professionalism, ensuring a positive first impression.
- Register new patients and update existing patient records in the clinic management system.
- Manage appointment calendars for doctors, therapists, and specialists; optimize scheduling to reduce wait times.
- Handle phone calls, WhatsApp inquiries; provide information about clinic services, timings, and doctors’ availability.
- Coordinate patient flow – direct patients to consultation rooms, keep track of waiting order, and inform doctors about the next patient.
- Collect consultation fees, process payments (cash, card, UPI), and issue receipts; reconcile daily cash and prepare payment reports.
- Maintain and organize patient files, forms, and consent documentation for easy retrieval.
- Track and confirm follow-up appointments, lab test results, and prescription refills.
- Manage front desk supplies (stationery, forms, printer cartridges) and keep them stocked.
