Our operations depend on secure collaboration, structured document management, and scalable Microsoft 365 solutions to support property portfolios, HOA boards, vendors, and internal teams. As part of our ongoing digital transformation, we are modernizing and standardizing our Microsoft 365 environment with a focus on SharePoint Online, governance, security, automation, and operational efficiency.
Position Overview
We are seeking a highly organized and versatile Microsoft 365 Solutions & IT Administrative Specialist to join our Corporate IT team.
This is a unique hybrid role that combines Microsoft 365 architecture, SharePoint administration, IT operations, and executive-level administrative support. Working remotely, you will help design and maintain a scalable Microsoft 365 environment while also supporting daily IT operations, internal users, documentation, project coordination, and software administration.
The ideal candidate is equally comfortable designing enterprise SharePoint architecture as they are managing helpdesk requests, coordinating projects, and supporting business operations.
Key Responsibilities
Microsoft 365 Architecture & Governance:
- Design and implement enterprise SharePoint Online architecture using a scalable hub-and-spoke model.
- Build structured environments for properties, HOA communities, regional offices, and internal departments (Finance, Operations, Legal, etc.).
- Develop information architecture using metadata, content types, document libraries, and standardized site templates.
- Create repeatable site provisioning processes for new property onboarding.
- Establish Microsoft 365 governance standards, including:
- Naming conventions
- Site lifecycle management
- Permission models
- Role-based access for staff, board members, vendors, and external users
- Implement Microsoft Purview governance, including:
- Retention policies
- Sensitivity labels
- External sharing controls
- Compliance best practices
IT Administration & Helpdesk Operations:
- Manage incoming IT support requests through email, phone, and the company's ticketing system.
- Provide exceptional internal customer support and follow issues through resolution.
- Coordinate software subscriptions, licensing, vendor contracts, and renewal schedules.
- Assist with user account administration and Microsoft 365 administrative tasks.
- Maintain organized IT documentation and operational records.
SharePoint Hub & Content Management:
- Collaborate with departments to publish and maintain content on the corporate SharePoint Hub.
- Ensure documentation, announcements, policies, and resources remain accurate and current.
- Promote consistency and usability across SharePoint sites.
Automation & Project Coordination:
- Identify opportunities to automate business processes using Power Automate.
- Assist with workflow implementation, including approvals, document routing, and property onboarding processes.
- Coordinate IT project schedules, milestones, and departmental calendars.
- Track project progress to ensure deadlines are met.
Documentation & Presentations:
- Prepare technical documentation, architecture diagrams, process documentation, and implementation roadmaps.
- Create presentations and reports for IT leadership and business stakeholders.
- Maintain accurate documentation of Microsoft 365 standards and procedures.
QualificationsRequired Experience:
- 5+ years of experience administering SharePoint Online (Modern Experience) and Microsoft 365.
- Proven experience designing enterprise or multi-entity SharePoint environments.
- Strong knowledge of:
- Microsoft Teams
- Microsoft Entra ID (Azure AD)
- Microsoft 365 administration
- SharePoint permissions and security models
- Experience providing remote administrative support and IT helpdesk coordination.
- Experience managing calendars, scheduling, and project tracking.
Preferred:
- Experience with Vantaca.
- Knowledge of Microsoft Purview.
- Experience with the Microsoft Power Platform (Power Automate and Power Apps).
- Familiarity with Microsoft Copilot data readiness and governance.

Working Conditions:
Employment Type: Full-Time Independent Contractor
Location: Fully Remote (Work from Anywhere)
Schedule:
- Monday through Friday
- 9:00 AM – 5:30 PM Eastern Time (EST)
- Includes a 30-minute unpaid meal break
Time Tracking:
Use of Hubstaff time-tracking software is required while performing work.
Payment:
Payments are securely processed through Wise twice monthly on the 15th and 30th.
Pay: ₹660.51 - ₹757.32 per hour
