We are looking for a highly organized and proactive Operations Coordinator who can effectively manage internal operations, coordinate cross-functional teams, ensure timely project delivery, and support business processes while maintaining exceptional quality standards.
Project & Task Coordination

Delegate tasks to the appropriate Wildnet team members based on client account allocations.

Track project progress and ensure all deliverables are completed before internal deadlines.

Maintain the company's internal delivery standard, ensuring projects are completed within 50% of the client-committed timeline to allow sufficient review and revisions.

Coordinate with multiple internal departments to ensure seamless execution.

Monitor the quality of all client deliverables before submission.

Review AI-generated content (Gemini or other AI tools) using Grammarly Pro, ensuring content achieves a high-quality standard (100/100 score wherever applicable).

Ensure corrections are implemented before final client delivery.

Monitor scripts and operational workflows to identify any issues that could result in underspending or overspending.

Escalate operational concerns to relevant stakeholders and ensure timely resolution.

Support contract reconciliation and operational documentation.

Ensure smooth onboarding and offboarding processes, including preparation of all required documents and compliance checklists.

Conduct business research as required to support ongoing projects and strategic initiatives.

Read, prioritize, and route emails during leadership's offline hours where required.

Build and maintain workflow automations using Zapier.

Integrate business platforms such as HubSpot and other operational tools to improve efficiency.

Identify opportunities to automate repetitive business processes.

Prepare, review, and circulate meeting minutes.

Follow up with internal teams on action items.

Maintain accurate operational records and project documentation.

Execute operational tasks assigned by Karina and Laura.

Continuously identify opportunities to improve internal workflows and operational efficiency.
Required Skills

Excellent project coordination and organizational skills.

Strong attention to detail and quality control.

Excellent written and verbal communication skills.

Experience working with HubSpot, CRM platforms, or similar tools.

Knowledge of Zapier or workflow automation tools.

Strong Microsoft Excel and Google Workspace skills.

Ability to multitask across multiple client accounts.

Problem-solving mindset with excellent follow-up skills.

Ability to work independently with minimal supervision.
Preferred Qualifications

Bachelor's degree in Business Administration, Operations, Management, or a related field.

2–5 years of experience in Operations, Project Coordination, Client Success, PMO, or Business Operations.
-
Experience working with international clients (UK/US) will be an advantage.

Familiarity with Digital Marketing agency operations is preferred.
