Job Summary
We are looking for a detail-oriented and experienced Import Export Executive to manage end-to-end international trade operations.
The ideal candidate should have strong knowledge of import and export documentation, customs regulations, foreign trade compliance, banking procedures, invoicing and logistics coordination.
The role requires meticulous verification of documents, timely coordination with the CHA, suppliers, freight forwarders, customs brokers, commissioner and customs office and banks to ensure smooth and compliant international shipments.
Key Responsibilities:
Import & Export Documentation
- Prepare, verify, and process all import and export documents, including Commercial Invoices, Packing Lists, Certificates of Origin (COO), Bills of Lading (BL), Air Waybills (AWB), Shipping Bills, Bills of Entry (BOE), Insurance Certificates and other statutory documents.
- Thoroughly verify supplier documents, ensuring accuracy of supplier details, consignee information, product descriptions, HSN codes, quantities, values, Incoterms, country of origin and shipment details.
- Ensure all documentation complies with Customs, DGFT, ICEGATE, RBI and other applicable government regulations.
- Coordinate with Customs House Agents (CHA), freight forwarders, shipping lines and transporters for timely documentation and customs clearance.
Customs & Regulatory Compliance
- Ensure compliance with all import and export procedures as per Indian Customs regulations.
- Work on ICEGATE portal for customs-related documentation and tracking.
- Monitor changes in import-export regulations and ensure company compliance.
- Maintain complete records of all import/export transactions for audit and statutory purposes.
Logistics Coordination
- Coordinate with shipping lines, airlines, freight forwarders, and transport providers for cargo bookings.
- Coordinate with factory for transportation, track shipments and proactively resolve delays or logistics issues.
- Ensure timely movement of cargo and delivery of documents to all stakeholders.
Banking & Foreign Trade
- Handle export and import banking documentation.
- Coordinate with banks regarding Letters of Credit (L/C), advance remittances, inward and outward remittances and export proceeds.
- Follow up for closure of Advance Remittance transactions by submitting Bills of Entry (BOE), Bills of Lading (BL), Air Waybills (AWB) and other required documents to banks within stipulated timelines.
- Assisting the accounts department in invoicing / billing.
- Ensure compliance with RBI and FEMA guidelines relating to foreign exchange transactions.
Advance Authorisation / Advance Licence
- Monitor Advance Authorisation (Advance Licence) utilization.
- Reconcile imports and exports against Advance Licence obligations.
- Maintain proper records and ensure timely fulfilment of export obligations.
Duty & Cost Management
- Calculate applicable customs duties based on HSN classification.
- Verify duty structures, exemptions, concessions, and applicable notifications.
- Timely claim or processing of all available concessions and schemes.
- Coordinate with CHA for accurate duty assessment and customs clearance.
Supplier & Customer Coordination
- Liaise with overseas suppliers, customers, freight forwarders, and shipping agents.
- Resolve shipment discrepancies, documentation issues, and logistics-related queries.
- Negotiate freight rates and coordinate cost-effective shipping arrangements.
Reporting & Record Keeping
- Maintain accurate records of all import/export transactions and documentation.
- Prepare shipment status reports, pending documentation reports, and compliance reports.
- Ensure proper filing and archival of all shipping and banking documents.
Educational Requirements:
- Bachelor's Degree in Commerce (B.Com.),
- Degree/ Diploma in Logistics, Supply Chain Management or in equivalent field.
Additional certification in Import-Export Management or Foreign Trade will be an added advantage.
Experience:
- 4–5 years of hands-on experience in Import & Export operations.
- Experience in handling international shipping documentation, customs procedures and banking documentation is preferred.
Required Skills:
- Strong knowledge of Import-Export documentation.
- Working knowledge of ICEGATE, Customs procedures, DGFT, RBI, and FEMA regulations.
- Experience in handling Letters of Credit (L/C), Advance Remittances, and export-import banking documentation.
- Good understanding of HSN classification and customs duty calculations.
- Proficiency in MS Excel, MS Word, and ERP systems.
- Excellent documentation, analytical, and reconciliation skills.
- Strong communication and coordination skills with suppliers, customers, freight forwarders, CHAs, and banks.
- High attention to detail with the ability to identify and resolve discrepancies.
- Ability to manage multiple shipments and meet strict timelines.
