Job Summary
The Tender Executive is responsible for identifying, preparing, submitting, and tracking tenders, ensuring all documentation is complete, accurate, and submitted within deadlines. The role involves coordinating with internal departments, clients, and government/private organizations to maximize successful bid opportunities while ensuring compliance with tender requirements.
Key ResponsibilitiesTender Management
- Search and monitor tender opportunities through government and private procurement portals.
- Analyze tender documents, eligibility criteria, technical specifications, and commercial requirements.
- Prepare and compile technical, commercial, and financial bid documents.
- Ensure timely submission of online and offline tenders before deadlines.
- Maintain records of submitted, ongoing, and awarded tenders.
Documentation & Compliance
- Prepare and manage tender-related documents including company credentials, certificates, declarations, affidavits, and statutory documents.
- Coordinate with Finance for Earnest Money Deposit (EMD), Bank Guarantees (BG), Performance Bank Guarantees (PBG), and other financial requirements.
- Ensure compliance with tender terms, contractual obligations, and company policies.
- Track document validity such as GST, PAN, ISO certifications, MSME/Udyam, and other registrations.
Coordination
- Liaise with Sales, Technical, Finance, Procurement, and Legal teams for bid preparation.
- Coordinate with customers and procurement authorities to clarify tender requirements.
- Follow up on bid status, purchase orders, and contract awards.
Reporting & Administration
- Maintain tender MIS, bid trackers, and contract records.
- Generate periodic reports on tender participation, success rates, and pipeline.
- Organize and maintain digital and physical records of all tender documents.
Pay: ₹25,000.00 - ₹30,000.00 per month
