Role Overview
We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support leadership and cross-functional teams. This role involves calendar management, stakeholder coordination, project tracking, documentation, and operational support across multiple initiatives.
The ideal candidate is an excellent communicator who thrives in a fast-paced environment, takes ownership of tasks, and can effectively coordinate across teams, regions, and time zones.
Key Responsibilities
- Manage executive calendars, schedules, meetings, and follow-up activities.
- Coordinate communication between leadership, clients, partners, and internal teams.
- Prepare meeting agendas, minutes, action items, reports, and status updates.
- Maintain project trackers and workflow boards using tools such as Microsoft Teams, Smartsheet, or Monday.com.
- Conduct regular follow-ups with stakeholders to ensure timely completion of tasks and project milestones.
- Support conferences, webinars, speaking engagements, outreach initiatives, and operational activities.
- Assist with CRM updates, reporting, communication tracking, and outreach management.
- Maintain organized documentation, SOPs, records, and operational processes.
- Coordinate activities across multiple locations and time zones.
- Work closely with leadership to ensure smooth execution of strategic and operational priorities.
RequirementsEssential Qualifications
- 1–2 years of experience in Executive Assistant, Operations, Administrative Support, Project Coordination, or similar roles.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- High attention to detail and ability to manage multiple priorities.
- Strong follow-up, coordination, and stakeholder management skills.
- Ability to work independently with minimal supervision.
- Professional, proactive, and execution-focused mindset.
- Proficiency in Microsoft 365 (Word, Excel, Outlook, Teams).
Preferred Qualifications
- Experience with Smartsheet, Monday.com, HubSpot, or similar workflow/CRM tools.
- Familiarity with AI productivity tools such as ChatGPT, DeepSeek, or similar platforms.
- Understanding of US business communication and professional workplace culture.
- Experience working across multiple time zones.
- Availability to overlap with US Eastern Time (EST) business hours on selected days.

Pay: ₹12,533.03 - ₹46,165.02 per month
