Position: Admin Executive / Administrative Officer
Key Responsibilities
Office Administration
● Manage daily office operations to ensure efficiency and discipline at the corporate
office.
● Oversee office supplies, stationery, pantry, and coordinate with vendors and service
providers.
● Handle facilities management, office maintenance, and coordination with building
management.
● Support coordination between corporate office and project/site teams where required.
Documentation & Records
● Maintain and organize company records, files, and documentation (physical &
digital).
● Prepare letters, notices, reports, and internal communication.
● Maintain employee records, attendance, and leave data.
Coordination & Support
● Coordinate with internal departments for administrative requirements.
● Support HR with onboarding formalities, documentation, and exit processes.
● Assist management with scheduling meetings, travel arrangements, and calendar
management.
Vendor & Compliance Management
● Liaise with vendors, service providers, and building management for admin-related
services.
● Handle bill verification, expense tracking, PO coordination, and basic MIS reporting.
● Support compliance documentation related to vendors, contractors, and office
administration.
Front Office & Communication
● Handle front desk responsibilities including calls, visitors, and courier management.
● Act as the first point of contact for office-related queries.
● Ensure professional communication across all levels.
Required Skills & Competencies
● Strong organizational and multitasking abilities
● Excellent verbal and written communication skills
● Proficiency in MS Office (Word, Excel, PowerPoint)
● Basic knowledge of HR/admin processes
● Problem-solving and coordination skills
Qualifications & Experience
● Bachelor’s degree in any discipline
● 2–5 years of experience in administration or office management
● Experience in construction, manufacturing, interiors, or corporate office setup
