Job Summary
The General Administrator – Hostel is responsible for the overall administration and smooth functioning of the college hostel. The role ensures a safe, secure, hygienic, and student-friendly residential environment by managing hostel operations, coordinating with wardens, housekeeping, security, maintenance, and catering teams, and ensuring compliance with institutional policies.
Key Responsibilities Hostel Administration
- Oversee the day-to-day operations of the hostel.
- Ensure efficient room allocation, occupancy management, and resident records.
- Maintain hostel registers, student records, inventory, and documentation.
- Coordinate hostel admissions, check-in, check-out, and room transfers.
Student Support
- Address hostel-related student concerns and resolve issues promptly.
- Ensure adherence to hostel rules, discipline, and code of conduct.
- Coordinate with hostel wardens to promote student welfare and a positive living environment.
- Handle student grievances and escalate major issues to management when necessary.
Facilities Management
- Supervise housekeeping, laundry, maintenance, and pest control services.
- Conduct regular inspections of rooms, common areas, kitchens, dining halls, and recreational facilities.
- Ensure timely maintenance and repair of hostel infrastructure and equipment.
- Monitor hostel assets and inventory.
Safety & Security
- Coordinate with the security team to maintain a safe and secure hostel environment.
- Ensure compliance with fire safety, emergency preparedness, and health regulations.
- Monitor visitor entry, student attendance (where applicable), and movement as per hostel policies.
- Prepare and maintain incident and accident reports.
Vendor & Service Coordination
- Coordinate with catering, housekeeping, maintenance, transport, and other service providers.
- Monitor service quality and ensure timely resolution of operational issues.
- Assist in vendor performance monitoring and contract compliance.
Financial & Administrative Support
- Monitor hostel-related expenses and assist in budget planning.
- Verify bills related to hostel operations and maintain expenditure records.
- Prepare periodic reports on occupancy, maintenance, incidents, and operational performance.
Qualifications
- Bachelor's degree in Administration, Management, Hospitality, or a related field.
- Master's degree is an added advantage.
Experience
- 3–7 years of experience in hostel administration, facility management, hospitality, or institutional administration.
- Experience in educational institutions or residential facilities is preferred.

Working Conditions
- Full-time, campus-based position.
- May require availability during evenings, weekends, holidays, or emergencies.
- Requires regular inspection of hostel facilities and interaction with students, staff, and service providers.
