Accounts Payable Manager
At Norstella, our financial operations are built to support scale, precision, and innovation. The Accounts Payable Manager plays a pivotal role in leading the AP function with strong controls, predictable cycle times, and high-quality outputs — while driving continuous improvement through standardization and automation. This role manages the Accounts Payable team and is accountable for defining, tracking, and improving KPIs aligned to invoice processing, payment execution, vendor experience, and close support. The AP Manager partners closely with Accounting and Treasury to ensure accurate financial reporting, disciplined cash management, and compliant payment practices across multiple geographies including the USA, UK/Europe, and India.
Primary Responsibilities

Lead, manage, and develop the AP team, including daily workflow management, queue prioritization, training/onboarding, feedback, and performance support to ensure consistent execution and coverage

Own AP operational KPIs (definition, baseline, targets, and ongoing reporting), such as invoice cycle time, on-time payment rate, backlog/aging, exception rates (2-way/3-way match), vendor inquiry responsiveness, rework rates, and month-end close timeliness/accuracy

Drive process design and continuous improvement across invoice intake, coding/approvals, matching, exception handling, payment runs, and vendor maintenance; standardize practices and document SOPs/training materials

Establish and enhance internal controls, ensuring compliance with company policies and audit requirements, including segregation of duties, approval matrices, payment authorization, master data governance, and evidence retention

Oversee payment execution governance across multiple geographies and payment methods, ensuring the team supports requirements in the USA, UK/Europe, and India (e.g., bank formats, cutoffs, local practices, tax-related needs, and vendor/bank compliance expectations)

Partner with Treasury on cash forecasting inputs, payment timing, bank file controls, and critical/urgent payment decisioning; ensure a predictable payment cadence and clear escalation processes

Partner with Accounting to support month-end close (accrual inputs, AP reconciliations, vendor statement reconciliation) and respond to audit requests efficiently and accurately

Own vendor and stakeholder management, ensuring timely resolution of inquiries, disputes, credit notes, and escalations; maintain a high-quality vendor experience through clear communication and reliable timelines

Lead AP automation initiatives, identifying opportunities to reduce manual effort and improve accuracy (e.g., invoice capture/OCR, automated routing/approvals, rules-based coding, duplicate detection, automated reconciliations, workflow reporting dashboards)

Serve as a key driver of AP system and ERP enhancements (preferably NetSuite), including testing, cutover support, control design, and post-implementation stabilization; ensure changes improve outcomes against defined KPIs
Experience / Qualifications

Bachelor's degree in Accounting, Finance, or a related field (or equivalent practical experience)

8+ years of Accounts Payable experience, including demonstrated people management and operational leadership experience

Proven ability to define, track, and improve KPIs in a transaction-processing environment; strong analytical and problem-solving skills

Experience working with ERP systems (preferably NetSuite and Kyriba); ability to leverage reporting tools and work effectively with Finance Systems/IT partners

Strong working knowledge of multi-currency payments and cross-border AP operations; comfort supporting payment practices across USA, UK/Europe, and India

Strong Excel skills (pivot tables, lookups, data analysis); experience with Power Query/automation/reporting tools is a plus

Sound understanding of AP controls, audit readiness, and compliance expectations; familiarity with US 1099 considerations and UK VAT practices is a plus
