We are seeking a proactive, organized, and customer-focused professional to manage corporate health check-ups, OPD operations, and doctor coordination at our new Vashi centre.
Job Summary
The Operations Executive cum Customer Care Executive will handle end-to-end corporate health check-up programs, OPD operations, and customer service. This includes scheduling and coordinating doctors’ appointments, ensuring smooth in-clinic services, managing patient flow, and maintaining high-quality patient experience.
Key Responsibilities
1. Corporate Health Check-up Coordination
- Act as Single Point of Contact (SPOC) for corporate clients and retail clients
- Schedule in-centre and onsite corporate health camps
- Share health check-up packages, consent forms, and pre-test instructions
- Onboard and register corporate employees efficiently
- Provide real-time updates to corporate HR teams during large health camps
2. Customer Care & Front Desk Management
- Greet and assist patients and corporate employees professionally
- Manage appointment scheduling and follow-ups
- Handle walk-in and telephonic queries
- Address patient complaints and feedback promptly.
3. Doctor Management
- Prepare and share doctors’ daily schedules with consultants
- Coordinate doctor availability for OPD, corporate check-ups, and diagnostic services
- Ensure doctors are informed about patient appointments and check-up requirements
- Manage in-clinic logistics for smooth consultation flow
- Address any doctor-related operational concerns or schedule changes
4. Floor & Operational Management
- Oversee patient flow from registration → consultation → sample collection
- Coordinate between OPD, pathology, radiology, and consultants
- Ensure minimal waiting time and proper signage
5. Housekeeping & Hygiene Monitoring
- Supervise cleanliness of consultation rooms, sample collection areas, waiting areas, and restrooms
- Ensure biomedical waste disposal compliance
- Maintain hygiene for breakfast/snacks and water arrangements
6. Breakfast & Hospitality Coordination
- Arrange post-fasting breakfast/snacks
- Liaise with catering vendors/in-house kitchen for timely service
7. Billing & Accounts Coordination
- Ensure accurate billing for individual and corporate packages
- Generate invoices and share with corporate accounts teams
- Track pending payments and coordinate follow-ups
- Assist with vendor payments
8. MIS & Reporting
Prepare daily/weekly/monthly reports on:
- Health check-ups conducted
- Tests completed vs. pending
- Revenue collection
- Report delivery timelines
- Patient feedback and complaints
9. Vendor & Inventory Management
- Maintain inventory of lab supplies, stationery, and housekeeping materials
- Coordinate timely procurement
- Monitor vendor performance
10. IT & Software Handling
- Use healthcare management software for registration, billing, and reporting
- Ensure accurate data entry
- Escalate technical issues to IT
Required Skills & Competencies
- Strong coordination and multitasking skills
- Excellent communication and customer service skills
- Ability to manage doctors, patients, and operations simultaneously
- Basic knowledge of medical terminology
- Proficiency in MS Excel, Google Sheets, and MIS reporting
- Problem-solving mindset and attention to detail
Educational Qualifications
- 10+2/Diploma/Bachelor’s Degree (Healthcare Management / Business Administration / Life Sciences preferred)
- Diploma/Certification in Hospital or Healthcare Administration is a plus
