Job Description

Position: Admin Incharge
Department: Administration
Location: Kirti Nagar, New Delhi
Reporting To: Administration Head
Working Hours: 8:00 AM to 6:00 PM (Monday to Saturday)
Industry: Infrastructure / EPC / MEP / Corporate Office

Job Summary

The Admin Incharge will be responsible for overseeing and managing all administrative functions of the organization to ensure smooth day-to-day operations. The role requires strong coordination, facility management, vendor management, office administration, employee support, and compliance monitoring skills. The incumbent will act as a central point of coordination between employees, vendors, service providers, and management.

Key Responsibilities1. Office Administration & Facility Management

Ensure smooth functioning of office operations and administrative activities.
Manage office infrastructure, housekeeping, security, pantry, and maintenance services.
Monitor office cleanliness, safety, and workplace standards.
Coordinate repair and maintenance of office equipment, furniture, and utilities.
Ensure uninterrupted availability of office supplies and consumables.

2. Vendor & Asset Management

Manage and coordinate with vendors, service providers, and contractors.
Obtain quotations, negotiate rates, and process vendor agreements.
Maintain records of company assets, equipment, and inventory.
Conduct periodic asset verification and inventory audits.
Ensure timely renewal of AMC contracts and service agreements.

3. Employee Support & Coordination

Facilitate employee administrative requirements including ID cards, access cards, seating arrangements, and travel arrangements.
Coordinate accommodation, transportation, and logistics support whenever required.
Address employee administrative concerns and ensure timely resolution.
Support HR in onboarding and induction activities for new employees.

4. Travel & Logistics Management

Arrange travel bookings, hotel accommodations, transportation, and logistics for employees and management.
Coordinate vehicle management, fuel records, and transportation requirements.
Maintain travel expense records and supporting documentation.

5. Documentation & Compliance

Maintain all administrative records, agreements, licenses, and statutory documents.
Ensure timely renewal of office licenses, permits, insurance policies, and vendor contracts.
Maintain proper filing systems for administrative documentation.
Support audits by providing required records and documentation.

6. Security & Safety Management

Ensure implementation of office security procedures and visitor management systems.
Coordinate with security agencies and monitor security personnel performance.
Ensure compliance with workplace health, safety, and emergency preparedness requirements.

7. Budget & Cost Control

Monitor administrative expenses and maintain cost-effective operations.
Prepare monthly expense reports and administrative MIS.
Identify opportunities for cost optimization and process improvements.

8. Reporting & MIS

Prepare daily, weekly, and monthly administrative reports.
Maintain records related to attendance, office expenses, assets, and vendor performance.
Provide regular updates to management regarding administrative operations.
