JOB DESCRIPTION FOR Sales-Co-ordinator (Project Execution Executive)

Department Projects / Operations

Designation Project Execution Executive

Qualification Bsc./Bcom./MBA

The Project Execution Executive will be responsible for coordinating and managing end-to-end execution of projects, ensuring timely delivery, compliance with contractual requirements, and seamless communication between internal teams, clients, and site personnel. The role requires strong organizational skills, attention to detail, and the ability to handle multiple stakeholders across functions. The role requires strong communication, coordination, and documentation skills. “End-to-End Execution of Power Transmission EPC Projects”

Key Responsibilities:

1. Project Execution & Contract Coordination

Coordinate with the Team post-LOA for submission of Bank Guarantees and execution of Contract Agreements.
Maintain BOQ, customer-wise billing summaries, payment terms, and contract documentation.
Ensure compliance with contract terms, internal policies, and applicable guidelines.

2. Internal Coordination

Liaise with Plant/Manufacturing for production updates, inspection schedules, dispatch planning, and billing readiness.
Coordinate with Procurement for timely material delivery, site receipt, and GRN completion.
Arrange Dispatch Instructions (DI) for material dispatch and service billing.
Work closely with Billing, Quality, Stores, Logistics, and Finance teams for smooth project execution.
Track project progress, order status, and maintain regular internal communication.
Coordinate with Erection Contractors for JMC arrangements.
Support end-to-end execution of EPC and power transmission projects, including planning and timeline management.

3. Client & Site Coordination

Interface with clients for dispatch instructions, LC documentation, invoice clarifications, and payment follow-ups.
Provide timely updates on dispatch and resolve commercial/documentation queries.
Coordinate with site teams for invoice submission and approvals from paying authorities.
Support site activities including TOC, line charging, and project closure.

4. Invoice, Payment & Documentation Management

Prepare and track invoices for material supply and service-related work.
Coordinate with the Billing Team for timely invoice generation.
Maintain dispatch records, payment trackers, and order status reports.
Prepare and manage required certificates (MRC, JVR, and other client-specific documents).
Perform periodic reconciliation with Accounts.
Follow up for outstanding payments with clients and internal stakeholders.
Manage documentation for state and utility projects (e.g., MSTC, Gujarat projects).

5. MIS & Reporting

Prepare and manage Bank Guarantees, LC documentation, and related correspondence with banks.
Generate MIS reports including dispatch status, receivables, fund projections, BG status, and order pipeline.
Maintain accurate and up-to-date project documentation and records.

6. Administrative & Sales Support

Assist in preparation of quotations, proposals, presentations, and tender documents.
Maintain organized filing systems (physical and digital).
Support Sales and Project teams with coordination, follow-ups, and client communication.

Preferred Industry Experience:

EPC, Power Transmission, Infrastructure, or Manufacturing Industry

Skills & Competencies

· Basic understanding of commercial processes (DI, LC, BG, billing, dispatch).

· Strong follow-up skills, coordination capability, and time management.

· Ability to work cross-functionally with multiple teams.

· Strong coordination and multitasking abilities

· Good understanding of project execution and contract management

· Proficiency in MS Excel and documentation handling

· Effective communication and stakeholder management skills

· Attention to detail and problem-solving mindset
