Position Overview
We are seeking a detail-oriented and proactive Admin & Accountant to join Xcel Accounting as a mid-level professional. This role combines financial management with operational excellence, serving as a key contributor to our firm’s financial health, compliance, and resource optimization. The ideal candidate will bring proven accounting expertise alongside a genuine interest in AI and automation, with the ability to identify opportunities where technology can enhance our processes and productivity.

Key ResponsibilitiesAccounts & Financial Management
- Manage Xcel’s general ledger, accounts payable, and accounts receivable using Xero
- Prepare and reconcile monthly financial statements, bank reconciliations, and subsidiary ledgers
- Process invoices, expenses, and payments while ensuring compliance with internal controls and policies
- Monitor cash flow, prepare cash forecasts, and flag potential issues early
- Support year-end audit preparation and external reporting requirements
- Maintain financial documentation and ensure accuracy and timeliness of records
Operations & Resource Management
- Oversee timesheet collection and validation via Karbon and other time-tracking systems
- Track actual spending against budget, prepare variance analyses, and present findings to management
- Assist with resource allocation planning, forecasting, and optimization across projects and departments
- Monitor utilization rates and provide insights for capacity planning
- Coordinate with operations team to resolve scheduling, allocation, or billing issues
- Generate routine operations reports (budget performance, utilization, pipeline metrics) on a defined cadence
Systems & Process Improvement
- Maintain proficiency in Xero and Karbon; proactively identify automation and efficiency opportunities
- Explore AI and automation tools that can streamline accounting, reporting, and operations workflows
- Document processes and create standard operating procedures for team consistency
- Collaborate with leadership to implement system improvements and measure impact
Required QualificationsExperience & Education
- 3 - 7 years of accounting, bookkeeping, or operations experience in a professional services or similarly complex environment
- Bachelor’s degree in Accounting, Finance, Business, or equivalent professional experience
- Proficiency in cloud-based accounting software (Xero, QuickBooks, or similar)
Core Competencies
- Strong accounting and bookkeeping fundamentals; comfortable with reconciliations, GL analysis, and month-end close
- Financial acumen with the ability to interpret P&Ls, understand cost structure, and identify trends
- Excellent Excel skills; experience with data analysis, pivot tables, and formula-driven reporting
- Detail-oriented with a bias toward accuracy; strong internal controls mindset
- Strong organizational and time-management skills; ability to juggle multiple priorities and meet deadlines
- Clear written and verbal communication; ability to explain financial concepts and operations data to non-financial stakeholders
- Proactive problem-solver with a “bias to action” mindset; comfortable working independently and flagging issues early
Desirable Qualifications
- Inter CA/CPA/CMA, or other relevant professional accounting certification
- Experience in professional services, consulting, or client-facing accounting roles
- Familiarity with Karbon, Kantata, or other professional services automation platforms
- Exposure to workflow automation, AI tools (e.g., ChatGPT, Make, Zapier), or business process optimization
