Job Role
The Store Officer will be responsible for the overall management of hospital stores, inventory control, stock availability, material receipt and issue, documentation, and coordination with purchase and clinical departments. The role requires maintaining accurate inventory records and ensuring that medicines, surgical consumables, optical items, medical supplies, and general hospital materials are available as per operational requirements.
Key Responsibilities / KRAs
- Store & Inventory Management
- Manage day-to-day activities of the hospital store.
- Maintain optimum stock levels for medicines, surgical consumables, medical supplies, optical items, stationery, and general items.
- Ensure proper categorization, labeling, storage, and systematic arrangement of all materials.
- Material Receiving & Verification
- Receive materials against approved Purchase Orders / invoices.
- Verify quantity, quality, batch number, expiry date, and specifications before accepting stock.
- Report shortages, damages, discrepancies, or incorrect supplies to the concerned department.
- Material Issue & Distribution
- Issue medicines, consumables, surgical items, and general materials only against authorized requisitions.
- Maintain proper issue records and ensure materials reach the concerned department on time.
- Monitor consumption patterns and identify unusual or excessive usage.
- Inventory Records & Documentation
- Maintain accurate stock registers, GRN, issue slips, stock transfer records, and other inventory documentation.
- Ensure all stock movements are updated in the hospital/ERP inventory system on a timely basis.
- Maintain proper documentation for audit and management review.
- Expiry & Batch Management
- Monitor batch numbers and expiry dates of medicines and consumables.
- Follow FEFO (First Expiry, First Out) wherever applicable.
- Maintain an expiry tracker and ensure timely reporting of near-expiry and expired items.
- Ensure expired or damaged materials are segregated and disposed of as per hospital policy and applicable regulations.
- Stock Verification & Audit
- Conduct regular physical stock verification and reconcile physical stock with system records.
- Investigate and report stock shortages, excesses, or discrepancies.
- Support monthly, quarterly, and annual inventory audits.
- Purchase & Vendor Coordination
- Coordinate with the Purchase / Procurement team for timely replenishment of stock.
- Prepare stock requirement statements based on consumption and minimum stock levels.
- Coordinate with vendors regarding deliveries, shortages, replacements, returns, and damaged materials.
- Departmental Coordination
- Coordinate with OT, Pharmacy, Optometry, Nursing, Diagnostics, Front Office, Administration, and other departments for their material requirements.
- Ensure uninterrupted availability of critical clinical and operational supplies.
- Cost & Inventory Control
- Minimize wastage, overstocking, pilferage, and unnecessary purchases.
- Monitor slow-moving, non-moving, and fast-moving inventory.
- Ensure economical utilization of hospital resources.
- Store Safety & Compliance
- Maintain proper storage conditions for medicines, consumables, chemicals, and other materials as applicable.
- Ensure the store is clean, organized, secure, and accessible only to authorized personnel.
- Follow hospital SOPs, safety standards, infection-control requirements, and applicable statutory guidelines.
- Reporting & MIS
- Prepare regular inventory reports for management.
- Submit reports on stock position, consumption, shortages, near-expiry items, expired items, and pending purchase requirements.
- Escalate critical stock-outs or potential supply interruptions immediately.
- Team & Operational Support
- Coordinate with store assistants/helpers, where applicable.
- Ensure discipline and adherence to store procedures.
- Support management during audits, inspections, stock-taking, and process improvement initiatives.

Qualification & Experience
- Qualification: Graduate / Diploma in Store Management, Inventory Management, Supply Chain, Pharmacy, Hospital Administration, or relevant field.
- Experience: 2–5 years of experience in hospital, healthcare, pharmacy, medical store, or healthcare inventory management preferred.
- Working knowledge of MS Excel and inventory/ERP software is preferred.
- Knowledge of hospital consumables, surgical items, medicines, and medical supplies will be an advantage.

Overall Objective:
To ensure continuous availability, accurate control, safe storage, and cost-effective utilization of all hospital materials, while maintaining proper documentation and compliance with organizational policies.
Pay: ₹20,000.00 - ₹25,000.00 per month
