The Office Manager is responsible for overseeing head office administration and providing structured operational support to multiple restaurant outlets. The role ensures documentation discipline, vendor coordination, compliance tracking, inter-departmental alignment, and financial control across outlets.
This is a high-accountability role requiring speed, confidentiality, and strong coordination skills in a fast-paced F & B environment.
Core Responsibilities
· Manage daily office operations and ensure uninterrupted administrative support.
· Supervise front desk, housekeeping, office assistants, and support staff.
· Maintain central documentation control for all outlets.
· Ensure standardized filing (digital & physical) across departments.
· Act as the administrative bridge between Head Office and Store Managers.
· Track submission of daily, weekly, and monthly reports from outlets.
· Ensure uniform implementation of SOPs across locations.
· Follow up on compliance, audit observations, and documentation gaps.
· Manage central vendor contracts (maintenance, equipment, housekeeping, pest control, IT, etc.).
· Track AMC renewals for kitchen equipment, POS systems, refrigeration, and HVAC.
· Monitor utility expenses and identify cost-control opportunities.
· Negotiate service contracts where applicable.
· Maintain and track renewals for:
· FSSAI licenses
· Trade licenses
· Shops & Establishments registration
· Fire NOC
· Pollution control (if applicable)
· Music licenses (IPRS/PPL)
· Ensure labour law registers and documentation are updated.
· Coordinate documentation for inspections and statutory audits.
· Monitor administrative and utility budgets for each outlet.
· Track vendor invoices and coordinate with Accounts for timely processing.
· Maintain petty cash oversight and reconciliation.
· Support procurement documentation control.
· Maintain employee records for all outlets.
· Track attendance inputs from stores.
· Coordinate payroll inputs with HR/Accounts.
· Ensure confidentiality of employee data.
· Support onboarding documentation and exit formalities.
· Consolidate operational data from outlets.
· Maintain dashboards on:
· Utility costs
· Maintenance expenses
· Compliance renewals
· Vendor performance
· Submit monthly administrative report to leadership.
· Good command over English & Malayalam
· Strong coordination and follow-up discipline
· Ability to manage multiple outlets simultaneously
· Knowledge of restaurant compliance ecosystem
